Senior Secretary / Officer(Ref. 260109003-IE)
Duties
The appointee will be required to:
(a) provide comprehensive secretarial, administrative and logistic support in the Director’s Office;
(b) handle the initial processing and re-directing, as appropriate, of incoming mail for the Director’s Office;
(c) handle and draft simple correspondences;
(d) arrange meetings and appointments, including preparation of agendas, meeting folders and related documents;
(e) manage sensitive and confidential matters in a professional manner;
(f) handle telephone calls and enquiries;
(g) handle information flow and maintain an effective record and filing system;
(h) supervise clerical/supporting staff in the Director’s Office; and
(i) perform any other duties as assigned.
Qualifications
Applicants should:
(a) have five passes in HKCEE including English Language (at least Grade C if Syllabus A; Level 2 if results are obtained from 2007 onwards), Chinese Language (Level 2 if results are obtained from 2007 onwards) and Mathematics; or a combination of results in five HKDSE subjects of Level 2 in New Senior Secondary subjects / “Attained” in Applied Learning subjects / Grade E in other Language subjects, and the five subjects must include English Language, Chinese Language and Mathematics plus not less than eight years of relevant experience; OR a recognised degree plus relevant post-qualification secretarial/administrative experience;
(b) have a good command of both written and spoken English and Chinese, preferably with fluency in Putonghua;
(c) be proficient in computer applications including Microsoft Word, Excel and PowerPoint;
(d) possess strong numerical competency, with data compilation and consolidation experience, as well as excellent communication and interpersonal skills;
(e) be well-organised, efficient and attentive to details; and
(f) be able to initiate appropriate actions, work independently and under pressure and handle sensitive matters with sound judgement, alertness and care.
Shortlisted candidates may be invited to sit for written and computer tests.
Conditions of Service
A highly competitive remuneration package will be offered. Initial appointment will be on a fixed-term gratuity-bearing contract. Re-engagement thereafter is subject to mutual agreement.
