Event Project Manager

Job Description

CAPS is seeking to hire a full-time Event Project Manager with extensive experience in project management, planning and execution of events for our Hong Kong office. The candidate should be highly organized and detail-oriented, have a passion for event management, demonstrate excellent communications and management skills, and able to work collaboratively with various stakeholders. This role will report directly to the Director of Communications at CAPS.

Responsibilities

  • Manage the planning, timelines and execution of conferences, workshops, convenings and events, both in-person and virtual
  • Coordinate and liaise with CAPS partners, vendors, venues, and suppliers to ensure all aspects of events are executed smoothly
  • Manage invitations and RSVPs, serve as the main point of contact for participants
  • Assist in crafting the event content and programming, align on event objectives and goals, manage speakers’ logistics
  • Produce presentations and other necessary collaterals, collaborate with external vendors to design event pamphlets
  • Assist in creating and implementing event marketing strategies to drive attendance
  • Oversee event setup and execution, manage on-site staff and vendors to ensure a seamless experience for participants
  • Conduct post-event debriefs and analyze feedback and metrics to improve future events
  • Produce and edit marketing collateral and communications content, including press releases and social media content
  • Support the Communications and Special Projects team on ad hoc tasks as required

Requirements

  • Degree in Events Management, Project Management, Hospitality, Communications or related disciplines
  • 5+ years of relevant work experience in events agencies or PR /media or related corporate sector
  • Excellent English and Mandarin verbal and written communication skills are essential
  • Demonstrated experience in events and project management and execution of marketing campaigns
  • Excellent interpersonal and stakeholder management skills
  • Ability to work independently and implement projects across teams with limited supervision
  • Strong multi-tasker, highly organized, reliable, detail-oriented, proactive, creative, resourceful
  • While non-profits experience is not a must, the candidate should demonstrate a strong interest in CAPS’ research and mission
  • Proficient in Microsoft Word, PowerPoint, Excel and Canva
