The Registry is a key central administrative unit of the University supporting it in providing quality higher education. We administer and deliver a broad range of student and academic services, such as admissions, registration, quality assurance, class scheduling, examinations, and graduation. The Registry is also responsible for maintaining student records and providing secretarial support to Senate and its committees, and are integral in the governing of academic regulations of the University. We provide aspiring candidates with ample staff development opportunities and a promising career in higher education.


We are now looking for a suitable person to fill the following position in the Registry:


Assistant Academic Service Manager (REG) (Ref: 25002FF)

Major Duties and Responsibilities

The appointee will be responsible mainly for the following:

  • Lead a small team of supporting staff in delivering administrative services in the Undergraduate Admissions Team of the Registry;
  • Administer student admission for undergraduate (UG) programmes, including JUPAS and non-JUPAS admissions, and contribute to the strategic enhancements in the admissions area;
  • Oversee the UG Admission counter and daily office operations, provide guidance to counter staff, handle complex customer inquiries, and develop operating rules and guidelines for counter operations;
  • Prepare data and statistical reports for UG admissions;
  • Liaise with academic/administrative units and external parties on admissions and related functions;
  • Assist in the development and implementation of system enhancements to suit the needs of admissions;
  • Assist in the review and implementation of policies, regulations, and procedures related to admissions.;
  • Provide administrative support to committees; and
  • Perform other duties as assigned by the Registrar or delegates.


Candidates

Candidates should possess the following qualifications, experience and competence:

  • A recognized degree with at least 3 years of post-qualification experience in administration and supervision, preferably in student admissions at tertiary institutions (experience with JUPAS/non-JUPAS is desirable).
  • Good command of both written and spoken English and Chinese, including Putonghua;
  • Knowledge of admissions systems, regulatory compliance, and customer service best practices.
  • Strong interpersonal, communication and data analytics skills;
  • Strong organizational and problem-solving skills;
  • Good analytical abilities, with proficiency in data tools (e.g., Excel, statistical software).
  • Capable of working independently and collaboratively within a team;
  • Strong commitment to work, with the ability to work under pressure, and adapt to new changes and technologies.


Shortlisted candidates will be invited to attend a written test.

An attractive remuneration package, including basic salary, an end-of-contract gratuity, and a discretionary incentive payment, where applicable, will be offered to the right candidates.
