To implement and coordinate policies and procedures and execute day-to-day operations to ensure the smooth running of HKIS summer programs and to manage the AAS after school database and Activities transitions.

KEY AREAS OF RESPONSIBILITY:

Program Implementation and Co-ordination:

Work with the Coordinator to supervise, co-ordinate and implement programs established by the Director. Evaluate existing programs and systems in order to ensure consistency and quality as well as to determine any areas of improvements. Assist the Coordinator to manage the summer program registration process, arrange refund, payroll calculation for staff, purchase supplies as well as assist with campus set-up and wrap-up. Mediate parents’ complaints and handle students’ behavioural issues. Liaise with local schools, teachers and parents, assess and make recommendations for financial aid requests for ELLP candidates. Liaise with program teachers and selected parents and set-up appointment for potential scholarship recipients to meet with the Admission Director.

Program Policy:

Evaluate, communicate and implement policies established to ensure the effective operations of the department. Assist Director in identifying any areas of improvement.

Staffing:

Coordinate and recommend suitable teachers, support staff and teacher Assistants for Summer Programs. Lead orientation of teachers, teacher assistants, nurses & AV technicians, together with the Coordinator, Director in order to ensure the standard and quality of instruction and delivery are met. Delegate, advise and assist the Summer Program Assistants in any day-to-day problems and issues. Oversee the duties and undertake appraisal and evaluation of teachers and other staff associated with these programs. Supervise teacher assistants and summer school students. Work with HR to prepare summer staff contracts & time sheets, and if required, working VISA and housing arrangement for overseas staff.

Marketing:

Recommend and execute marketing strategies including Summer Discovery website, China trips poster, ELLP flyer and applications and website, in order to promote programs to the internal and external community. Arrange and implement newspaper advertisement and email bi-weekly advertisement directly to HKIS parents and students as well as post advertisement on divisional newsletters.

Vendors:

Ensure suitable support services, such as, Bus transport company and catering services are employed. Maintain records and evaluate these services and regularly report findings to the Director.

Budgeting:

Maintain and monitor operational expenses as well as approve requests for teaching supply and student materials to ensure amounts do not exceed budget limits. Manage department petty cash reimbursement.

Facilities Management:

Coordinate and arrange summer school teachers’ facility, supply, AV & computer requests and work with facility co-ordinator, Finance office, HR, Purchasing, ETS and FMD departments to ensure smooth schedules and set up throughout the summer.

Reporting and Analysis:

Compile and analyse data to assist the Director in evaluating operations and procedures for recommendations to the HOS on improvement areas.

Other:

Undertake any other duties and functions as required by the Director, which will help improve overall operations.

EXPERIENCE & QUALIFICATIONS:

Education:

  • Relevant degree or experience working within an extra -curricular program.

Experience:

  • 3 years experience working a school setting involved with managing activities and or summer programs

Skills:

  • Strong written and verbal communication skills
  • Experience in administering academic and non academic programs
  • Familiar with local education system & program offering
  • First aid training
  • Experience in staff training and supervision
  • Strong interpersonal skills with teachers, parents, students & staff.
  • Webpage maintenance experience an advantage
  • Proficient using Microsoft office applications (Word, Excel, Access, Powerpoint)
  • Flexibility to meet varying workloads throughout the year
  • Strong organisational and multi-task skills
  • Bilingual would be an asset
