We are looking for high calibre Assistant Sales Administrator who crucial role in supporting the sales team, managing customer relationships, and ensuring smooth coordination between sales, production, and logistics.

Core Responsibilities

1. Sales Support

    Assist the sales team with administrative tasks, including customer inquiries regarding product availability and delivery timelines.

2. Order Management

  • Process customer orders, ensuring accuracy in product specifications, quantities, and pricing.
  • Coordinate with the production and inventory teams to confirm product availability and lead times.

3. Production Coordination

  • Act as a liaison between the sales team and the manufacturing department to communicate customer requirements.
  • Ensure the manufacturing schedule aligns with delivery commitments.

4. Logistics and Delivery

  • Coordinate with the logistics team to arrange shipping and delivery of products.
  • Track shipments and provide customers with delivery updates.
  • Resolve any delivery issues, such as delays, damages, or incorrect shipments.

5. Reporting and Documentation

  • Prepare sales reports, forecasts, and performance summaries for management.
  • Maintain accurate records of sales orders, invoices, and delivery schedules.
  • Monitor and analyze sales trends and provide valuable insights to the sales team.


Key Skills for a Sales Administrator

  • Communication Skills: Strong verbal and written communication to interact with customers, sales staff, and factory teams.

  • Organizational Skills: Ability to manage multiple orders, deadlines, and reports simultaneously.

  • Attention to Detail: Ensuring accuracy in order processing, pricing, and reporting.

  • Problem-Solving: Handling customer complaints and resolving logistical or production issues.

  • Technical Knowledge: Familiarity with manufacturing processes, inventory systems, and sales software (e.g. Excel, Word, Flexsystem, ERP systems etc.).


Daily Workflow

  1. Review incoming customer orders and confirm product availability with the factory.
  2. Update customers on order status and delivery timelines.
  3. Coordinate with the production team to prioritize urgent orders.
  4. Generate sales reports for management
  5. Collaborate with logistics to arrange shipping and resolve delivery issues.

Qualifications and Requirements


·       Secondary graduated or above

·         > 1- 3 years experience in orders follow up and arrange shipment

·         Good command in both written and spoken Cantonese, Mandarin and English.

·         Hong Kong SAR Permanent work rights.

·         Fresh graduate is also considered.
