Job Description

Summary of the Role

The Team Coordinator is a pivotal position within the Technical Documentation Quality Control Department. This role ensures smooth workflow management, effective use of resources, timely delivery of documentation, and efficient team operations in a dynamic environment.


Key Areas of Responsibility

1. Product Sample Management

  • Media Creation: Photograph and record video instructions for product assembly and usage.
  • Sample Logistics: Handle the receipt, organization, storage, and disposal of samples.
  • Tracking: Maintain logs to track the movement and status of all product samples.
  • Support for Writers: Help with the unpacking, organizing, and distribution of samples.
  • Digital Archive: Manage a centralized file system for product-related media and documentation.

2. Project Coordination

  • Project Intake: Assess incoming projects and assign tasks accordingly.
  • Tool Management: Use tools like SmartSheet to track projects.
  • Scheduling: Ensure projects are completed on time and monitor task durations.
  • Task Allocation: Coordinate workload among internal team members and external partners.

3. Communication and Collaboration

  • Internal Liaison: Serve as the main contact point for coordination teams.
  • External Communication: Relay project requirements and updates to external resources.
  • Team Interfacing: Foster smooth interaction between internal and external collaborators.

4. Resource & Administrative Management

  • Invoice Review: Validate billing from external agencies.
  • Leave & Schedule Tracking: Manage records for team WFH, SL, and AL.
  • Expense Management: Input and manage receipts and internal costs.

 

5. Reporting & Team Support

  • Performance Reporting: Generate weekly and monthly performance summaries.
  • Team Engagement: Organize team-building events and assist with meetings.
  • Ad Hoc Duties: Address general team support needs and participate in client discussions.

Team-Wide Contributions

  • Prioritize tasks and manage multiple projects simultaneously.
  • Encourage innovation, teamwork, and uphold team values and culture.
  • Share expertise and mentor junior staff.
  • Support overall team goals with reliability and accountability.

Qualifications

Education

  • Secondary school diploma or higher.

Experience

  • At least 1 year in a project coordination or equivalent role.

Skills & Attributes

  • Excellent English communication skills.
  • Having a good sense for photography is a big advantage for this role.
  • Physically able to handle packages (up to 10–15 kg).
  • Highly organized, detail-oriented, and proactive.
  • Capable of logical thinking and problem-solving.
  • Effective in both independent and team settings.
  • Integrity, responsibility, adaptability, and a team-first attitude are essential.
