What you’ll do

  • Switchboard, call answering.
  • Hospitality services: visitors and guests “Meet and Greet” and serving beverages to guests.
  • Meeting room bookings, coordination for meeting room setup and restoration for client and staff meetings and events, and assist with client and staff meetings and events when required.
  • Assist in pantry services, including ordering pantry supplies and coordinate pantry ladies for their tasks.
  • Cover Facilities Coordinator’s annual leave.
  • Cover Facilities Coordinator’s lunch break.
  • Assist in mail services (both incoming and outgoing posts, couriers and deliveries)

Key management.

  • Assist and follow up any service request raised from client’s staff.
  • Health & Safety: be trained as first-aider and fire warden of client’s office, conduct routine check of first-aid boxes and other H&S supplies and arrange replenishment and replacement if necessary, and ensure H&S guidelines and regulations are always followed
  • Assist in business cards printing.
  • Assist in new joiner on-boarding, leaver off-boarding processes and desk moves, and update internal record of desk assignment.
  • Assist in central office supplies stock e.g. printing consumables, general office supplies and branded stationery.
  • Assist in report preparation assigned by Regional Facilities Manager.
  • Assist in purchase requisition and invoice settlement through client’s procurement system.
  • Assist the FoH, Facilities Coordinator and Facilities Manager in any ad-hoc tasks when required.

Key qualifications

  • At least 3-5 years’ Front Desk or Receptionist experience within an international organisation in financial services.
  • Proven ability to deliver day-to-day activity to meet client’s requirements effectively.
  • Must be customer service focused, anticipating customers’ requirements and ensuring services are executed in timely and satisfactory manner.

  • Proven problem solver, demonstrating calm, considered and focused approach to delivering solutions for FoH issues.
  • Excellent organizational skills, accuracy and attention to details.
  • Able to work quickly, under pressure and meet deadlines.
  • Able to make priorities with regards to the tasks on hand.
  • Strong communication skills, both written and oral in English, Cantonese and Mandarin.
  • Team spirit with strong sense of commitment to all team members.
  • Assertive and able to deal effectively with all levels including own team, client’s staff, visitors, guests, vendors and contractors.
  • Self-starter with a flexible and proactive attitude.
  • Able to work independently, show initiative and take full responsibility for completion of duties, have ability to follow through.
  • Strong client facing skills including call answering and guest greeting skills.
  • Demonstration of strong common sense.
  • Excellent time keeping.
  • Good computer skills – MS Word, Excel, Powerpoint
  • Working outside of regular hours occasionally is required.
  • Working on shift is required: 8:30-17:30 or 9:00-18:00
  • Cheerful and pleasant personality, professional appearance.
