Position overview:

We are seeking a seasoned HR & Administration Supervisor to oversee our human resources functions and administrative operations. The ideal candidate will have a strong background in HR management, excellent organizational skills and experience in handling work visa arrangements and transfers. This role is crucial for fostering a positive workplace culture and ensuring compliance with employment regulations.


Job requirements:

Human Resources Management:

  • Support the Manager to review and revamp HR policies, procedures, and best practices that align with Hong Kong labour laws and industry standards.

  • Support the Manager to develop and manage full employee lifecycle, including talent acquisition, onboarding, total rewards, performance management, learning & development, employee engagement, etc.

  • Conduct market research on salary benchmarking, administer employee compensation and benefits programs, ensuring compliance with local regulations.

  • Monitor and prepare monthly headcount and turnover report; propose retention solutions. Partner with department heads to work on workforce planning.

  • Responsible on the revamp of existing HRIS system, liaise and manage HRIS service provider for continuous improvement on HRIS system and reporting to enhance efficiency on HR operations.

  • Foster a positive, inclusive and engaging work environment that supports the company’s values and culture.

  • Act as HR Business Partner to provide day-to-day HR advice to management and employee.  Prepare monthly HR reports and cost analysis for management review for continuous improvement.

  • Organize employee engagement initiatives and support group-level HR projects.

Administrative Management:

  • Lead a small team in managing daily office operations, maintenance, document management & control, and vendor coordination.

  • Support the Manager on annual insurance, licenses and contract renewal.

  • Oversee travel arrangements, visa applications, and logistics for group travellers and overseas visitors.

  • Maintain and update office and administrative policies and procedures.

  • Manage office G&A budget, petty cash, and ensure timely procurement and payment processes.

  • Negotiate contracts and pricing with service providers and suppliers.

  • Coordinate with IT, facilities, and security teams to ensure smooth office operations.

  • Provide executive-level administrative support and assist with company events and staff activities


A successful candidate:

  • Degree holder, major in Human Resources Management, Business Studies or related disciplines.

  • Minimum 7 years’ experience in all-round HR & Administrative management in sizeable organization with at least 1 year of supervisory experience.

  • Well-versed in Hong Kong Employment Ordinances, taxation, MPF and other legal regulations.

  • Hands-on, with the ability to develop and execute HR strategy and operations.

  • Strong sense of responsibility with proven ability to work under pressure.

  • Able to handle multi-task, capable of working independently as well as collaboratively with a team.

  • Self-motivated, strong sense of responsibility, detail-oriented, strong in managing numerical data and reports.

  • Strong communication, able to communicate effectively with all levels of staff and interact well in a multi-cultural work environment.

  • Strong analytical skills and proficiency in HRIS and office management systems.

  • Strong excel skills essential – VLOOKUP, HLOOKUP, Pivot tables, etc.

  • Excellent command of written and spoken English and Chinese, knowledge in Putonghua is preferred.

  • Immediate available or short notice is preferred.
