Overview

Eythos is a trusted partner in the protection, storage, and movement of fine art and valuable assets. We serve a wide spectrum of clients, from private collectors to major galleries and institutions. As our client base grows, we are looking for a highly organised, proactive Client Relationship Assistant to support our CR team across all day-to-day needs.

This is a support-focused role with structured training in logistics, storage, and operations. You’ll help us deliver service excellence through responsiveness, precision, and attention to detail, ensuring every client interaction is smooth, professional, and well-documented.

Key Responsibilities

Client Support & Team Assistance

·         Support the CR team in managing active client accounts across galleries and institutions

·         Handle follow-ups, admin tasks, and day-to-day scheduling

·         Assist with calendar management, booking coordination, and internal communication across teams

·         Prepare documentation for jobs, shipments, and billing, ensuring accuracy and completeness

Administration & File Management

·         File and organise all relevant client documents, forms, authorisations, and reference materials

·         Maintain shared drive housekeeping and version control for service records and internal forms

·         Support preparation of client-facing materials

·         Assist with internal meeting follow-ups, note-keeping and task management where needed


Development and Training

·         Receive structured onboarding and training in Eythos’ logistics, operations, and storage systems

·         Learn key workflows across transport, handling, and inventory to support accurate client communication

·         Follow on-site operations to learn end-to-end operational flow

·         Understand Eythos’ internal protocols and service standards to ensure alignment in all tasks


Ideal Candidate Profile

·         1–3 years’ experience in client service, administration, art handling, or logistics support

·         Fluent in Cantonese and English; Mandarin or Korean a strong advantage

·         Highly responsive, proactive, and comfortable working in a fast-moving environment

·         Detail-oriented with strong follow-through and pride in delivering accurate, well-presented work

·         A quick learner with the ability to grasp operational processes and apply them consistently

·         Calm and professional when dealing with high-value works, clients, and timelines

·         Confident with standard tools (email, calendar, document folders) and able to learn new systems quickly
