Customer Operations Shareholder Information Team is one of the Operations Team within Hong Kong region, responsible for providing back end support for processing shareholders’ requests into the system.
The Customer Operations Assistant Officer must deliver all the daily jobs within agreed timeline and service/quality standards, e.g. according to our operation procedures.
This role is also expected to work collaboratively across various teams within Operations, this is significant, in order to process all the shareholders’ instructions within service level and comply with compliance into the system.
A role you will love
The Customer Operations Assistant Officer will work closely with all Operation teams and Investor Services Team to ensure all shareholders’ instructions will be prepared, scanned and classified into appropriate transaction types for further processing in time and accurately. Assistant Officer is responsible for preparing, scanning incoming mails and transfer documents, classifying shareholder request and forwarding incoming faxes / emails to responsible teams timely, accurately and in accordance with SLA and procedures.
Some other key accountabilities will include:

Ensure incoming documents including incoming mails, transfer document, proxy forms and corporate action forms etc. are sorted timely, accurately and in accordance with relevant procedure and SLA

Ensure the sorted documents are scanned in accordance with relevant procedure and meet business goal of same day scanning service standard

Arrange the delivery of sorted / scanned documents to responsible teams

Ensure incoming emails and faxes forwarded to the responsible teams in timely manner

Classify incoming mails related to shareholder requests

Support corporate action activities if needed

Undertake ad hoc duties or tasks as assigned by management

Work independently and under pressure
What will you bring to the role?
To be successful in this role, you must have good communication and problem-solving skills, and some basic understanding relating to share registry business.
Some other key skills required for the role:

Diploma / Associate Degree or above

Min 2-year of working experience in digitization and imaging would be a definite advantage

Self-motivated, well-organized and detail-minded
-
Team player, with strong interpersonal and communication skills

Proactive, work independently under pressure

Proficient in reading, written and spoken English and Chinese
