Administrative Officer (Event, Learning Enhancement and Outreach Team) (Post Ref.: 25/156)

The School of Graduate Studies is established for strengthening the central support for postgraduate programmes as well as the monitoring of their quality in alignment with the University’s strategic direction of expanding and providing quality postgraduate education. It also proactively seeks collaboration with leading institutions in the international academic communities to co-organise scholarly activities to enhance postgraduate student learning.

Responsibilities

• Manage data for academic conferences, seminars, university events, and other related activities
• Consolidate data collected from various sources and maintain accurate records
• Ensure data accuracy and completeness by verifying information and resolving discrepancies
• Serve as the administrator and coordinator for school-level and university-level conferences and seminars
• Maintain relationships with academics, conference participants, vendors, and other stakeholders
• Assist with conference organisation, including scheduling, logistics, and communication with stakeholders to ensure smooth and streamlined execution
• Coordinate with other offices, provide administrative and secretarial support for students learning enhancement schemes and approval exercises
• Provide administrative support for teaching and learning enhancement initiatives at the central level
• Support the Manager in efficiently managing administrative tasks and projects
• Perform any other duties as assigned by the supervisor(s)

Requirements

• A Bachelor's degree and at least 2 years of administrative experience, preferably with tertiary institutions
• A good command of written and verbal English and Chinese (both Cantonese and Putonghua)
• Good analytical, organisational and problem-solving skills
• Good interpersonal and communication skills
• Exceptional attention to detail and accuracy in data management
• Experience in managing large-scale events and running hybrid-mode activities is an advantage
• Self-motivated with a strong sense of responsibility and attention to detail
• Proficiency in IT & computer skills, e.g Microsoft Office, Zoom application

Salary and Fringe Benefits
The rank and commencing salary will be commensurate with qualifications and experience.  Fringe benefits, where applicable, include annual leave, medical and dental benefits, mandatory provident fund and gratuity.
