We are looking for an experienced and detail-oriented Shipping and Order Coordinator to join our dynamic sales team. Key Responsibilities:
- Provide comprehensive administrative support to both the sales and operations teams.
- Coordinate sales activities, including the preparation of sales reports, presentations, and monitoring sales pipelines and targets.
- Process customer orders accurately and efficiently, ensuring prompt order fulfillment and delivery.
- Manage logistics arrangements for sample and production shipments, including import and export documentation (data input, filing) for multiple countries.
- Handle freight costing and coordinate with forwarders and shipping agents to optimize shipping routes and costs.
- Liaise with factories, warehouses, and truckers to maximize logistics efficiency and ensure smooth operations.
- Collaborate closely with factories, clients, warehouses, and forwarders to facilitate timely shipments.
- Issue Purchase order or Sales order, and prepare a full set of shipping documents, including invoices, packing lists, CO, custom clearance documents.
- Monitor cargo deliveries to ensure timely arrival and prepare schedule reports for stakeholders.
- Respond to client inquiries, offering product information and addressing any concerns in a professional and timely manner.
- Perform any ad hoc tasks as required.
Qualifications for Both Positions:
- Proven experience as a Shipping Coordinator, Sales Coordinator, or in a similar role, with a focus on logistics and shipping.
- Diploma or higher with at least 5 years of relevant experience.
- Strong organizational and multitasking skills, capable of prioritizing and meeting deadlines.
- Excellent communication and interpersonal skills, with the ability to build rapport with clients and internal stakeholders.
- Proficiency in MS Office (Word, Excel, PowerPoint) and ERP systems.
- Attention to detail and accuracy in handling sales documentation and order processing.
- Solid knowledge of sales principles, logistics management, and shipping procedures.
- Ability to work independently and collaboratively in a team-oriented environment.
- A proactive and results-driven mindset, with a strong commitment to achieving sales targets.
- Immediate availability is preferred.
