Position Summary
We are seeking a proactive and highly organized Team Assistant to provide comprehensive administrative and operational support to key team members. The ideal candidate will have minimum 6 years of relevant experience, strong multitasking abilities, and excellent proficiency in Outlook calendar management and Excel.
Key Responsibilities
· Travel Coordination: Arrange and manage travel itineraries for the team, ensuring seamless logistics and timely bookings.
· Calendar Management: Coordinate and maintain calendars, scheduling meetings, calls, and appointments efficiently.
· Meeting & Conference Coordination: Organize internal and external meetings, including conference logistics, room bookings, and necessary materials preparation.
· Communication & Scheduling: Set up meetings and conference calls, liaising with internal and external stakeholders to ensure smooth communication flow.
· Office coordination: Oversee office supplies including pantry and stationery inventory; coordinate with building management for office maintenance and repair issues; run errands as required.
Qualifications & Skills
· Minimum 6 years of experience as a team assistant or in a similar administrative support role, preferably within finance environments, but not necessary.
· Exceptional proficiency in Microsoft Outlook (calendar management) and Excel.
· Strong organizational skills with the ability to multitask and prioritize effectively in a fast-paced setting.
· Excellent communication and interpersonal skills.
· Proactive, detail-oriented, and able to work independently as well as part of a team.
