Key Responsibilities:

  1. Translation & Interpretation Support

    • morning briefings and monthly internal meetings.

    • Provide interpretation and translation for various internal communications and documents.

  2. Approval Workflow (Ringi) Management

    • Manage internal approval processes, including system administration and account updates.

  3. Expatriate Support

    • Manage housing contracts, travel expense claims, and other reimbursements.

    • Coordinate expatriate assignments, returns, and temporary home visits.

  4. Management Assistance

    • Formulate and execute strategic business initiatives to support the achievement of organizational objectives.

    • Collaborate with the General Manager to lead cross-functional teams, ensuring strategic alignment and effective implementation of operational plans.

    • Prepare monthly and annual reports and presentation materials.

    • Support executive document reviews and approvals.

  5. Company Secretarial Support

    • Handle annual returns, board meeting materials, and director changes.

    • Maintain company records and ensure compliance with statutory requirements.

  6. Audit Coordination

    • Assist with financial audits and documentation submission.

  7. Other Administrative Duties

    • Review company profile documents quarterly.

    • Participate in business process improvement projects.

 

 

Requirements:

  • Bachelor’s degree in Business Administration, translation, Japanese or related field.

  • 3 years + experience in secretarial support and administrative coordination

  • Proficiency in Japanese required

  • Strong organizational and communication skills.

  • Proficiency in Microsoft Office

  • Proficiency in English and Mandarin preferred.
