 Responsibilities:

  • Manage the executive’s dynamic calendar, including scheduling meetings, appointments, and travel arrangements (flights, visas, hotels, ground transportation).
  • Screen and prioritize incoming calls, emails, and correspondence
  • Handle sensitive information with absolute discretion and professionalism.
  • Organize and maintain confidential files, records, and reports.
  • Act as a key point of contact between the executive and internal/external stakeholders
  • Coordinate personal appointments, family schedules, and household-related matters as needed.
  • Assist in planning and executing personal events
  • Anticipate needs and resolve issues promptly with minimal supervision.
  • Adapt quickly to changing priorities in a fast-paced environment.

Requirements:

  • Bachelor’s degree in Business Administration or related field.
  • Minimum 5 years as a Personal/Executive Secretary supporting C-level executives
  • Proficiency in English and Mandarin (written and spoken).
  • Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint), virtual meeting tools (Zoom, Teams)
  • Exceptional organizational and time-management abilities.
  • Superb communication and interpersonal skills.
  • Ability to maintain composure under pressure.
  • Discreet, trustworthy, and high ethical standards.
  • Flexibility to work outside standard hours when required.
