Job Responsibilities

Provide high-level administrative support on business development and ensure smooth operations by covering the reception areas when required
-
Manage day-to-day office operations, including facilities management, equipment maintenance, and procurement of supplies
-
Ensure compliance with administrative policies and procedures across all departments
-
Coordinate and manage administrative workflows to support organizational efficiency
-
Monitor and control administrative budgets, ensuring cost-effectiveness and transparency
-
Prepare analytical reports such as cost analysis and consumption summaries to support management decision-making
-
Implement and update office administration policies, guidelines, and internal communications
-
Supervise the office administration team including receptionists, office assistants and cleaning assistance to maintain a professional and welcoming environment
-
Liaise with the Building Management Office to coordinate maintenance, building facilities management, and general office upkeep such as office cleaning, carpet cleaning, pest control and air conditioning maintenance
-
Assist in planning and coordinating office seating arrangements and furniture setup
-
Maintain accurate records of office fixed assets and monitor distribution across departments
-
Support the preparation of insurance, maintenance, and expense reporting for company vehicles and yacht
-
Manage inventory and procurement of office supplies and equipment
-
Manage logistics related to office administration, workplace safety, sanitation, and office manual updates
-
Assist with office renovation and relocation projects
-
Assist in organizing company events
-
Perform other ad hoc tasks and projects as assigned by management
Requirement
-
Diploma/ Degree holder (not specified/ Business Management/HR)
-
Minimum 4-8 years' solid experience
-
Strong sense of responsibility and accountability, hands-on and committed to deliver quality service
-
Organized, detail-minded, able to handle multi-tasks effectively and prioritize works to meet tight schedules/ deadlines
-
Strong administrative and office support skills
-
Ability to work independently and in a team
-
Excellent communication, interpersonal and supervisory skills
-
Proficiency with MS Office in bilingual
