Job Description
This position is responsible for the admin support to consulting team focusing on time and expense, printing and binding, biding preparation and other admin service which are necessary to consulting teams. This person needs to teamwork with others (office admin, secretary, ops service center) to ensure all the requests from consulting team can be well handled.
Primary duties and responsibilities include, but not limited to:
- Assist in time and expense report submission for partners/principals/project leaders if it is required by them or their assigned EAs
- Following the guidance and policy to ensure all the timesheet can be submitted correctly and in a timely way
- Responsible for ensuring all T&E reimbursement claims are submitted properly, supported by valid receipts, and charged to the correct project code
- Proper communication and clear documentation to ensure all the time allocation and expense claims are well noted by partners/principals/project leaders and their EAs to smooth the process and ensure a professional service delivery
Support the bidding process and material preparation
- Assist project teams or EAs in bidding preparation including consolidate the necessary materials, printing, binding, packing and delivery.
- For printing/binding and delivery, the person needs to facilitate the process with responsible teams like copy room, mailroom, or other admin teams.
Other admin work together with other team members in ops service center or teams in ops function to strengthen the support to consulting staff and the office
- Backup with each other to ensure service continuity
- Provide support to other office functions or activities (include but not limit to, Xmas party logistic support, social committee events, marketing events, etc) if required
Job Requirement:
- Degree holder with 1-2 years’ experience as an AA or team assistant in professional services or multi-national companies
- Effective oral and written communication skills in English and Mandarin Chinese
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook)
- Able to accept the flexible working model like shifting in different working hours
- Able to perform well in a fast-paced, deadline driven and service-oriented environment
- Flexible interpersonal skills and able to work effectively with all levels of staff
- Convey a strong positive personal and professional image with excellent standards of professional behavior and ethics
- Team player highly motivated, energetic, resourceful, and friendly
- Service-oriented, flexible, and able to work under pressure
