Job Description

Responsibilities:


Administrative Support

  • Provide day-to-day administrative support to the sales team, including preparing reports, and handling correspondence.

  • Assist with the preparation and processing of sales contracts, proposals, and agreements.

  • Coordinate with cross-functional teams to ensure smooth onboarding of new clients.


Contract Management

  • Track contract renewal dates and proactively notify the sales team and clients to ensure timely renewals.

  • Assist in preparing and reviewing contract renewal documentation to ensure compliance with company policies and client requirements.

  • Maintain an organized record of active contracts and related documentation.


Database Management

  • Update and maintain the sales database with accurate client information, sales activities, and contract details.

  • Regularly audit the database to ensure data integrity and consistency.

  • Generate and analyze sales reports from the database to provide actionable insights to the team.


Process Improvement

  • Identify inefficiencies in current sales processes and recommend improvements to enhance productivity and accuracy.

  • Collaborate with stakeholders to implement new tools or systems that streamline workflows and improve team performance.

  • Document updated workflows and provide training to team members as needed.


Customer Service and Communication

  • Act as a point of contact for client inquiries related to contracts, renewals, and general sales support.

  • Build and maintain strong relationships with clients by ensuring prompt and professional responses to their needs.

  • Support the sales team in resolving client issues or concerns in a timely manner.

 

Requirements:

  • Degree holder in Business Administration or any related discipline.

  • Strong attention to detail and organizational skills.

  • Excellent communication and interpersonal skills.

  • Ability to multitask and prioritize tasks in a deadline-driven environment.

  • Problem-solving mindset with a focus on process improvement.

  • Familiarity with contract management processes and/or sales operations is highly desirable.

  • Good command of spoken and written English and Chinese

  • Proficiency in MS office applications

  • Immediately available is preferable
