Job Description
Reporting to the Managing Director, the Administration Manager will lead a team responsible for office administration, facilities management, IT coordination, and general company support functions. The role also oversees facility operations of the company’s office, Metal Gallery, and warehouse, ensuring safety, functionality, and efficiency.
Responsibilities

Lead and manage daily office operations, including facilities maintenance, asset management, record keeping, and resource allocation.

Supervise the administration support team, including receptionist, admin officer, driver, and cleaning staff.

Oversee facilities management of the company’s office, Metal Gallery, and warehouse, including maintenance, safety, and cleanliness.

Develop and implement administrative policies, procedures, and quality standards to ensure operational efficiency.

Handle attendance and payroll administration for site workers, including site access and attendance records.

Organize company events, staff activities, and office enhancement projects.

Oversee company website updates and internal communication materials (e.g., newsletters or quarterly bulletins).

Coordinate with IT vendors and internal users to ensure effective operation and maintenance of office systems and equipment.

Manage office procurement, service contracts, company vehicles, insurance, licenses, and vendor relationships.

Perform other ad hoc duties as assigned.
Requirements

Degree holder with at least 10 years of relevant experience, including a minimum of 3 years in a managerial role.

Solid experience in office administration; prior experience in the construction or engineering industry is an advantage.

Strong leadership, planning, and people management skills.

Proficient in MS Office applications (Excel, PowerPoint, Word).

Familiarity with smart office systems is an advantage.

Positive, proactive, and professional attitude with strong communication and problem-solving abilities.

Immediate availability is highly preferred.
Working Hours
Monday to Friday: 8:30 a.m. – 6:00 p.m.
Alternate Saturdays: 8:30 a.m. – 5:30 p.m.
