Job Description:
We are seeking a Sales & Admin Assistant to support our daily sales and office operations, focusing on order processing, tender documentation, and shipping support.
Responsibilities:
📌 Order Processing & Shipping:
- Process sales orders and prepare invoices, delivery notes, and shipping documents.
- Liaise with logistics partners for shipment arrangements and document preparation.
📌 Tender Document Management:
- Organize and maintain tender documents systematically.
- Update and track tender register logs.
- Collect and prepare required documents for tender submissions.
📌 Customer Communication:
- Monitor and reply to customer emails related to tenders and orders.
- Ensure prompt and professional follow-up with customers.
📌 Information Maintenance:
- Keep tender and order-related documents organized and accessible.
- Maintain accurate records and filing.
📌 General Office Support:
- Assist the team with data entry, preparing sales reports, and general administrative duties.
- Support colleagues in daily tasks to ensure smooth operations in a small office environment.
📌 Flexibility & Growth:
- Take on additional ad-hoc tasks as needed, demonstrating adaptability and willingness to learn in a small team setting.
What We’re Looking For
✅ Associate Degree or above in any discipline with minimum 1 year experience
✅ Experience in administrative or sales support roles in FMCG/Trading is an advantage
✅ Excellent administrative and organizational skills with keen attention to detail
✅ Strong communication and interpersonal skills to interact effectively with internal and external stakeholders
✅ Proficient in Microsoft Office (Excel, Word, PowerPoint)
✅ Proactive, problem-solving mindset with the ability to work independently and within a team
✅ Positive, customer-centric attitude with a commitment to providing exceptional service
