Position Objective

  • The core purpose of the Applications and Data Offer is to secure and compile all the information necessary to support a student’s application for a place, and to undertake the internal review of each application, in order to make an ‘accept’ or ‘decline’ recommendation to the Admissions Director
  • The Applications and Data Manager Officer the Applications pipeline to ensure prompt follow-up and processing of all applications to smoothly and efficiently facilitate admission offer decision
  • The Applications and Data Officer is responsible for engaging with other internal stakeholders on student applications to ensure that all documents and inputs are adequately verified and the school is fully able to support each student’s education needs before a formal offer of a place is made


Responsibilities

  • Identify gaps and requests from the Admissions managers, all necessary information required to support the application and chase the Admissions managers for outstanding information as required.
  • Check applications to ensure they are complete and all requirements (in terms of required details, pre-requisites) are met
  • Perform initial screening of the application
  • Make recommendations on the application decision for final review and approval from the Admissions & Marketing Director
  • Keep Admissions managers up-to-date with any delays, additional requirements related to the application decisions, inform them about application decisions and manage waitlists
  • Liaise with the on-boarding and education provision teams to ensure a smooth handover of successful applications to the on-boarding team and Admissions Managers
  • Daily / weekly / term level reporting related to the applications pipeline - Forecast
  • Weekly report of pipeline movements including applications, assessments, offers etc.
  • Support in drafting student offers letters in admissions system
  • Support in admin task for student onboarding/offboarding
  • Record student assessment comment for Stamford review committee to decide offer

* Undergo necessary training for CRM, School system, cybersecurity, safeguarding and necessary platforms

* Manage and support data clearing for both CRM and school system

  • Administer English Assessments to non-native speakers
  • Administer Baseline Assessments where required
  • Manage the databases to make sure that all information is correct
  • Keep accurate report of available places in grades/classes


Position Requirements

  • High levels of accuracy and attention to detail
  • Excellent written communication skills
  • Outstanding time management and organization skills
  • Result oriented and driven by successful outcomes
  • Experience of the school admissions process preferably in the international K12 private education space preferred though not mandatory
  • Experience in use of multiple customer database, CRM tools and digital / online platforms
  • Must have outstanding communication skills in English, both spoken and written


Qualifications

    Minimum Bachelor’s degree or equivalent is required

  • Working Hours: ·  9:00am – 6:00pm, Monday to Friday, plus occasional extended working hours to complete some projects and to support school-related events may be required.


The job holder’s responsibility for promoting and safeguarding the welfare of children and young person’s for whom s/he is responsible, or with whom s/he comes into contact will be to adhere to and ensure compliance with the relevant Cognita Safeguarding; Child Protection Policy and Procedures at all times. If in the course of carrying out the duties of the role, the job holder identifies any instance that a child is suffering or likely to suffer significant harm either at school or at home, s/he must report any concerns to the School’s Designated Safeguarding Lead or to the Head of School or indeed to the Regional CEO or Safeguarding Manager - Asia so that a referral can be made accordingly to the statutory services.
