To cope with the rapid growth of the company, we are recruiting an Administrative Executive to be based in our Hong Kong office.

Your Mission

The Administrative Executive plays a key role in ensuring the smooth operation of daily office functions. This position supports senior management, coordinates administrative processes, and helps maintain organizational efficiency through effective communication, scheduling, and documentation.

Your responsibilities will include:

·         Office Management: Oversee daily operations, maintain a well-organized workspace, and ensure office supplies are stocked.

·         Communication: Handle internal and external correspondence, including emails, phone calls, and memos.

·         Scheduling: Manage calendars, book meetings, arrange travel, and coordinate appointments for senior staff.

·         Record Keeping: Maintain and update files, databases, and documentation with accuracy and confidentiality.

·         Accounting: Keep records of cost and cross check with accountant document

·         Event Coordination: Organize workshops, seminars, and company events, including logistics and vendor management.

·         Support to HR: Assist with onboarding, and employee documentation.

·         Reporting: Prepare reports, presentations, and meeting minutes as required.

·         Vendor Coordination: Liaise with suppliers and service providers for office maintenance, procurement, and contracts.

·         Document Preparation: Draft letters, reports, and official documents for internal and external use.

·         Compliance Support: Ensure administrative processes comply with company policies and legal regulations.

·         IT Coordination: Act as a point of contact for basic IT support and coordinate with tech teams for system issues.

Your Profile

·         Agility is key! At Five Keys, we encourage versatility and entrepreneurial spirit.

·         High school diploma or equivalent education required.

·         1-2 years of experience in administrative or executive support roles

·         Proficiency in Microsoft office (Word, PowerPoint, Excel & Outlook and Adobe Acrobat) is mandatory.

·         A problem solver with a passion for hospitality, well organized & quick response

·         Fluent in written and spoken English and Chinese (both Cantonese & Putonghua), French is a plus.

·         Attention to detail, creative problem-solving and strategic and analytical mind.

·         Immediate available is a plus
