About the Business

We are a team of committed office administrative personnel striving to support China firm's operation in contributing to the overall achievement of its business objectives.
This is accomplished by:
Working together with various functions and departments to ensure effective and efficient implementation of office policies and procedures
Providing a pleasant, functional and environmentally responsible working environment to our people to enable them to operate and serve our clients
Delivering a range of general administrative support services to facilitate operation efficiency and service excellence.
 

Work you'll do

  • Support daily office administration operation
  • Operate in-house rooms & desks booking system, prioritize bookings by firm policy
  • Provide support for booking mainly internal and occasionally external venues
  • Coordinate events, from staff engagement activities, business meetings, networking events to virtual webinars.
  • Support site inspection, program discussion, set-up plan preparation, etc. Provide recommendation on set-up and logistics issue
  • Manage event logistics and operations, which includes facilities management, arrange setup and breakdown of event spaces, coordinate catering & procurement, printing place cards, etc
  • Support on-site operation, greet and meet guests, ensuring high standard of hospitality. Occasional work off office-hours and over weekends
  • Source and coordinate suppliers for office operation, includes but not limited to pantry supplies, plant maintenance, car service, hampers, stationaries, etc
  • Support administrative tasks, i.e. reports preparation, contract negotiation
  • Source and coordinate accommodation arrangement for seconded colleagues
  • Handle administration work and ad-hoc projects as assigned

We are looking for someone with

To be considered for this position, you must demonstrate skills and experience in the following areas:

  • Higher diploma or above
  • At least 5 years’ experience in events / hospitality or office administration
  • Good knowledge of catering services and corporate environment
  • Strong organizational skills with the ability to manage multiple tasks and prioritize effectively in a fast-paced environment
  • Willing to work flexible hours, including early morning, evening and occasional weekends
  • Proactive, organized, self-motivated and strong sense of responsibility
  • Good command of both spoken and written English and Chinese
  • Good command of Microsoft Office. Use of Excel and Power Point is a must
