About the Business

We are a team of committed office administrative personnel striving to support China firm's operation in contributing to the overall achievement of its business objectives.
This is accomplished by:
Working together with various functions and departments to ensure effective and efficient implementation of office policies and procedures
Providing a pleasant, functional and environmentally responsible working environment to our people to enable them to operate and serve our clients
Delivering a range of general administrative support services to facilitate operation efficiency and service excellence
 

Work you'll do

  • Report to the Director and support by a team of administrative personnel to provide full spectrum in the office operation to facilitate operational efficiency.
  • Responsible for overall office administration operation includes:

    • Monitor office facilities and system maintenance including MVAC system, Fire Services system, security system, AV system, etc.
    • Oversee operation of Document Center (Mailing, Filing & Printing)
    • Lead the planning of workplace health and safety
    • Oversee office hygiene and security control
    • Monitor office expenditure and cost control
    • Follow ISO requirement on confidentiality and environmental protection
  • Act as emergency contact for the office, responding to emergency calls and situations as needed, ensuring swift action and response
  • Coordinate the office space planning and utilization, including assigning space and facilities, rearranging furniture, and facilitating enhancement to optimize efficiency.
  • Review service requirement on a regular basis, manage contracts negotiation and renewals with service suppliers.
  • Assist in formulating, reviewing administration policies, practices and procedure for workflow enhancement, higher efficiency and be future-ready.
  • Support the preparation of documentation and reports, such as status tracking report, budget plan, headcount report, staff appraisal, incident report & enhancement proposals, etc
  • Coach, motivate and train supporting staff. Manage the staff performance under a pleasant and functional working environment
  • Support Firm's internal Environmental, Social and Governance (ESG) initiatives
  • Assist and support special projects such as office renovation, relocation, systems integration, etc whenever required
  • Handle any ad-hoc duties as assigned

We are looking for someone with

To be considered for this position, you must demonstrate skills and experience in the following areas:

  • Bachelor Degree in Business Administration, Facilities/ Property Management, Building Services or related discipline.
  • At least 5 years’ supervisory experience in facilities management and/or administration management. Ideally with previous experience working in sizable organization
  • Solid hands-on experience in facility management is a must. Knowledge on hard service, maintenance procedures, general office system and safety regulations is necessary.
  • Team player with good interpersonal skill
  • Strong problem solving, negotiation and communication skills
  • Detail-oriented, well-organized and with high level of integrity
  • Good time management, able to prioritize, multi-task and to meet deadlines
  • Good command of spoken and written English and Chinese (both Cantonese & Putonghua)
