Personal Assistant to Chairman (Job Ref. No.: ADM03)

Job Description

  • Assist Chairman in all-round secretarial services in a confidential and timely manner
  • Prepare correspondence, meeting materials and distribute as appropriate
  • Manage complex calendar including scheduling / rescheduling online and offline appointments, handling all related logistics and hosting visitors
  • Schedule and maintain Chairman's travel itineraries independently and coordinate related arrangements for top management and VIPs
  • Acting as a liaison contact for external organizations, business partners, VIP guests and clients
  • Maintain easy-to-retrieve filing and namecard system
  • Supervise and lead office administrative function, and coordinate activities across the region as assigned
  • Maintain both local and overseas memberships
  • Supervise duties of drivers, boat captain and coordinate with domestic helpers
  • Maintain vehicles, the boat and properties
  • Assist in Chairman’s personal issues, personal companies and various tax returns
  • Support corporate events e.g. conferences
  • Provide administrative support to Board of Directors occasionally


QUALIFICATIONS, EXPERIENCE & SKILLS

  • Degree holder with good command in English, Putonghua and Cantonese
  • 5+years work experience in PA/secretarial or administrative role assisting senior management in sizable global companies
  • Working experience in a listed company preferred
  • Mature personality and strong problem solving skills.
  • Confident in taking initiative and work independently with agile mindset
  • Exceptional organising skills with excellent communication and interpersonal skills
  • Knowledge of BVI companies preferred
  • Proficiency in Microsoft Office, strong analytical skills with good business acumen
  • Able to handle multiple assignments while showing diplomacy and efficiency in a highly pressured environment
