Job Description

Position Overview

We are seeking a highly organized, discreet, and professional Family Assistant to provide comprehensive administrative and personal support to our family of three. Our family is relocating back to Hong Kong from the US West Coast, where the husband has been a successful repeat entrepreneur for over 20 years. As an ultra high net worth family, we require an exceptional individual who understands the unique demands and standards of service expected in this environment. This hybrid role requires exceptional attention to detail, strong communication skills in both English and Cantonese, and the flexibility to work both remotely and accompany the family as needed.

Key Responsibilities

  • Administrative Support: Provide comprehensive administrative and personal support to all family members while maintaining the highest standards of confidentiality when handling sensitive information

  • Event Coordination: Plan and execute family events including venue selection, catering arrangements, and photography coordination

  • Calendar Management: Manage complex and dynamic family calendars, demonstrating flexibility and precision in scheduling appointments and commitments

  • Personal Affairs Management: Handle various personal matters for family members, ensuring professional and courteous communication with other family members and relevant staff

  • Communications Management: Screen and prioritize incoming phone calls, emails, and correspondence, assessing importance and urgency. Interface professionally with business associates when needed

  • Records Management: Establish and maintain organized filing systems and records management protocols for family documents

  • Travel Coordination: Arrange comprehensive international and domestic travel plans including itineraries, accommodations, private jet coordination, ground transportation, and security services as required

  • Research & Recommendations: Conduct thorough research and provide detailed recommendations on various topics including:

    • Restaurant selections
    • Visa applications and travel documentation
    • Educational institutions and school applications
    • Relocation services and settling-in assistance
    • Other lifestyle and family-related inquiries
  • General Support: Perform additional administrative duties and family support tasks as needs arise

Required Qualifications

  • Education: Bachelor's degree or higher from an accredited institution

  • Language Skills: Fluent in both English and Cantonese (spoken and written) - this is essential for the role

  • Work Authorization: Must have the right to work in Hong Kongd

  • Experience: Minimum 3-5 years of experience in executive assistance, family office management, or similar role. Experience supporting UHNW families or entrepreneurs is highly preferred

  • Technical Skills: Proficient in Microsoft Office Suite, calendar management systems, and various digital communication platforms

  • Personal Qualities:

    • Exceptional discretion and ability to handle confidential information
    • Strong organizational and time management skills
    • Excellent interpersonal and communication abilities
    • Proactive problem-solving approach
    • Cultural awareness and sensitivity, ideally with understanding of both US and Hong Kong contexts
    • Flexibility and adaptability to changing schedules
    • Professional demeanor and appearance
    • Comfort working with high-profile individuals and managing complex requirements

Work Arrangement

This is a hybrid position offering flexibility between:

  • Remote work from home
  • On-site support at family residence
  • Accompanying family members to appointments, events, or travel as required

Work hours will vary based on family needs, with some evening and weekend availability expected. Given the family's international connections, occasional support across different time zones may be required.
