Job Responsibilities
I. Daily Office Operation Management
1. Responsible for coordinating daily administrative affairs of the office to ensure the orderly operation of the office environment.
2. Liaise with the office owner and property management office, coordinate and handle matters such as premises maintenance and expense settlement to ensure the normal use of the office space.
3. Complete ad-hoc tasks assigned by superiors.
II. Affairs and Document Management
1. Responsible for the receipt, registration, transmission, classification and filing of company documents, couriers, letters and correspondences to ensure timely information transmission and complete records.
2. Regularly organize electronic and paper files to ensure the retrievability and security of data.
III. Reception and Travel Support
1. Assist company leaders in daily reception of visiting clients, including tea preparation, meeting room arrangement and visitor registration.
2. Responsible for the overall arrangement of leaders' daily outings and business trips, including restaurant reservations, hotel bookings, flight/train ticket reservations, and provide simultaneous weather reminders and travel guides to ensure smooth trips.
IV. Operation and Maintenance of Office Tools
1. Proficient in using Office software and office equipment (printers, meeting equipment, etc.).
2. Assist in troubleshooting basic equipment failures and contact maintenance personnel for handling to ensure office efficiency.
Requirements
1. Bachelor's degree or above.
2. Hong Kong local resident (holding Hong Kong permanent residency).
3. At least 3 years of relevant experience in administration or secretarial work; those familiar with office operation processes are preferred.
4. Detail-oriented, patient, with strong sense of responsibility, good communication and coordination skills and service awareness; basic ability to respond to emergencies.
5. Fluent in English, Cantonese and Mandarin.
6. Driving license holder is preferred.
