About the Role:

The Senior Assistant, Ocean Freight primarily supports the execution of daily ocean freight operations (60% focus), including booking, documentation, and coordination of shipments, while also providing sales support (40% focus) such as assisting with customer inquiries and preparing sales-related materials. This role ensures compliance with regulations, delivers high-quality service, and contributes to business growth in a dynamic freight forwarding environment, working closely with operations and sales teams to meet goals.


Key Responsibilities:

Operations Related (60%)

  • Execute daily ocean freight operations, including booking, documentation, and coordination of shipments.
  • Monitor shipment movements and update systems to ensure accurate tracking and timely delivery.
  • Prepare and verify shipping documents, ensuring compliance with international maritime regulations and industry standards (e.g., DPC regulation).
  • Liaise with shipping lines, co-loaders, warehouse operators, and trucking companies to facilitate smooth shipment processes.
  • Maintain accurate records and ensure all documentation meets internal and external audit requirements.
  • Follow standard operating procedures (SOPs) to ensure operational consistency and efficiency.

Sales Support Related (40%)

  • Assist in sales support by preparing quotations, responding to customer inquiries on shipment status, and providing operational data for sales proposals.
  • Communicate with sales teams to address inquiries, resolve issues, and support sales opportunities promptly.
  • Report operational issues or discrepancies to the Ocean Freight Manager and provide insights for sales improvements.
  • Support the team in achieving key performance indicators (KPIs), service level agreements (SLAs), and sales targets through ad hoc tasks and projects as assigned.


 Desired Skills and Experience:

  • Tertiary education in logistics, supply chain, or a related discipline preferred.
  • Minimum of 1-2 years’ experience in ocean freight operations or sales support within the freight forwarding industry.
  • Basic knowledge of ocean freight operations, international maritime regulations, compliance requirements, and sales process.
  • Valid certification in DPC regulation (or willingness to obtain).
  • Good communication and interpersonal skills in English and Chinese (Cantonese and Mandarin), with ability to handle customer interactions.
  • Proficient in Microsoft Office and basic freight forwarding software systems (e.g., CargoWise).
  • Strong attention to detail and commitment to accuracy in documentation and sales materials
  • Ability to work effectively in a team, adapt to a fast-paced environment, and balance operations with sales support.
  • Proactive and willing to learn and take on additional responsibilities.
