Job Description

Summary

The Property and Administrative Officer play an important role to assist the HR & Admin Manager in frontline operations and back-office support. The person must be detail minded with good knowledge (good understanding of Building Management Ordinance/ Deed of Mutual Covenant or any other related document for management of multi-owned properties) and solid experienced in property management. In addition, he or she should be a self-motivated person with strong sense of responsibility, strong market sense, good leadership, organization, negotiation, analytical, marketing and interpersonal skills.


Responsibilities

Frontline Operations

Supervise the outsourced property management services, coordinate renovation projects, repair and maintenance works, ensure quality and efficiency

Develop and train team members to meet current and future needs

Manage new tenants' engagement, lease renewal and negotiation, tenancy agreement, takeover and handover of premises

Enforces landlord’s rights and to comply with statutory requirements

Daily report operational progress to HR & Admin Manager and raise out questions and difficulties if any


Back-office Support

Prepare meeting materials, payments, budget and tenders for maintenance and alteration & addition works

Review tenancy documents

Monitor compliance of tenancy requirements, arranging tenancy movements/ changes and maintaining tenancy records

Develop best practice and guidelines for property management, repair and maintenance works

Conduct regular leasing performance review, market research, analysis, cost benchmarking etc.

Prepare Audit and ISO documents for monthly checking and analytical reports for review


 

Requirements:

Diploma or above in relevant discipline, possess PMP License is an advantage

2 years' relevant work experience in property management

Proficient in PC skills and MS Office

Good interpersonal and problem-solving skills

Customer service-oriented and able to work under pressure, great attention to details

Good command of spoken and written English and Chinese

Candidates with more experience will be considered as Senior Property & Administrative Officer
