Position Overview
The Administrator plays a key role in ensuring the smooth day to day operations of the football academy. This position requires strong organizational, communication, and customer service skills, as well as the ability to manage administrative processes that support the delivery of high quality football programs. The Administrator will be the first point of contact for parents, players, and partners, while also ensuring compliance with internal policies and external regulations in Hong Kong.
Key Responsibilities
1. Administration & Operations
•
Manage and maintain academy schedules, timetables, and bookings for training, matches, and events.
•
Coordinate pitch bookings (both private and LCSD), transport and other logistical requirements.
•
Prepare and circulate internal communications, reports, and documentation for staff and management.

•
Ensure the academy complies with company policies, local regulations, and health & safety requirements.
•
Oversee equipment inventory, ordering, and distribution in coordination with coaching staff.
2. Player & Parent Relations
•
Act as the main point of contact for parents and players, responding to inquiries promptly and professionally.
•
Support the player registration process, including collecting documents, processing fees, and updating records.
•
Maintain accurate player databases and attendance logs.
•
Manage communications to families regarding schedules, cancellations, policies, and academy news.
3. Financial & Administrative Support
•
Handle player registration fees, invoices, and receipts in coordination with finance/accounting department.
•
Track payments, manage arrears, and provide timely reports to management.
4. Human Resources & Staff Coordination
•
Support the recruitment and onboarding of coaching and admin staff.
•
Maintain employee records, contracts and leave tracking in line with Hong Kong labour law.
5. Event & Program Support
•
Provide logistical and administrative support for tournaments, camps, clinics, and special events.
•
Liaise with partners, suppliers, and sponsors as required.
•
Assist in planning and executing academy events to enhance community engagement.

Qualifications & Experience
•
Minimum 2-3 years of experience in administration, customer service, or operations (experience in sports or education is an advantage).
•
Strong written and verbal communication skills in English; Cantonese and/or Mandarin is highly desirable.
•
Proficiency in Microsoft Office (Word, Excel, PowerPoint) and/or Google Workspace (Docs, Sheets, Drive) and familiarity with sports/class registration platforms (e.g., Class Card) is an asset.
•
Strong computing literacy.
•
Ability to work independently, take initiative and manage multiple priorities under tight deadlines.
•
Knowledge of Hong Kong labour, data protection, and child safeguarding regulations preferred.
