The Opportunity
We are seeking an organised and proactive Operations Coordinator to join our team in Hong Kong. In this role, you will take a proactive role managing shipments from start to finish, ensuring timely delivery and exceptional customer service. You’ll work closely with internal teams, overseas offices, and customers to ensure smooth logistics operations.

Location: Cheung Sha Wan, Kowloon – Hong Kong
Line Manager: Assistant Manager
Working Pattern:Monday to Friday 8 hours per day and half day alternate Saturdays.
Flexibility to work shifts or extended hours may be required to meet operational needs.

Key Role Accountabilities
Shipment Coordination
- Coordinate and manage airfreight/logistics shipments end-to-end in line with customer deadlines.
- Liaise with customers, carriers, suppliers, warehouse teams, and overseas offices to ensure smooth operations.
- Monitor shipment progress proactively, identifying and resolving potential issues before they escalate.
- ​Ensure accurate and timely data entry and job management in CargoWise (or company systems).
- Provide operational support during shift or out-of-hours duties as required, ensuing continuity of service for time-critical shipments.
Customer Service & Communication
- Act as a daily point of contact for customers, providing timely updates on shipment status, delays, or changes.
- Respond promptly to customer inquiries and resolve operational issues professionally.
- Build trust with customers by delivering consistent, reliable service and proactive communication.
- Ensure professional communication and customer updates are maintained across all shifts and countries, where required.
Billing & Documentation
- Record supplier costs and customer tariffs accurately to support correct billing and profitability.
- Raise and issue invoices promptly upon proof of delivery (POD).
- Prepare and follow up on quotations, converting accepted quotes into live jobs.
- Resolve billing discrepancies and ensure documentation accuracy across all files.
Compliance & Safety
- Ensure all shipments comply with Hong Kong Customs & Excise regulations, aviation security protocols, and IATA Dangerous Goods requirements.
- Maintain awareness of CAD regulations and company compliance requirements.
- Report incidents or compliance concerns promptly.
- Complete and maintain required training certifications, including aviation security and DG awareness.
Problem Solving & Escalation
- Take ownership of operational issues, working to resolve them quickly and effectively.
- Escalate urgent or complex matters to the Operations Supervisor as needed.
- Share learnings from issues to help improve processes and avoid repeat problems.
Performance & Continuous Improvement
- Take responsibility for meeting operational KPIs, including on-time delivery, file closure, and billing accuracy.
- Keep operational files audit-ready at all times.
- Suggest and support process improvements to enhance efficiency, service quality, or cost control.
- Participate in cross-training to build team flexibility and resilience.

Your Experience
- Proven experience in operations, ideally gained within the logistics, freight forwarding, or air freight.
- ​Proficiency in Chinese Cantonese) is essential to communicate effectively with drivers and suppliers; English proficiency required for internal and overseas communication.
- ​​Strong customer service and relationship-building skills, with the ability to manage multiple stakeholders.
- Effective verbal and written communication skills, with the confidence to liaise with customers and overseas offices.
- Proficiency in Microsoft Office and familiarity with freight management systems (CargoWise experience an advantage).
- Strong organisational skills with the ability to prioritise tasks while maintaining attention to detail.
- Problem-solving mindset with the ability to respond quickly and effectively under pressure.
- Self-motivated and able to meet deadlines in a fast-paced environment.
