Office Manager & Accounting Liaison

Join Podbean, a global leader in podcast software (podbean.com), as our new Office Manager & Accounting Liaison in Hong Kong! We’re an international company with a friendly, collaborative team culture. This hybrid role offers remote flexibility – you can work from home but will visit our Hong Kong office at least once a week to handle physical mail and on-site tasks. Key ResponsibilitiesOffice Administration:

  • Act as the primary point of contact for office-related issues to ensure a well-functioning workplace.
  • Communicate professionally with government agencies, tax agencies, vendors, and customers regarding company-related communications.
  • Manage the electronic and physical filing systems for HR, legal, finance, and vendor documentation.
  • Coordinate conferences, sponsorships, and exhibitions, managing logistics such as travel arrangements, exhibitor setups, and venue bookings.
  • Assist recruitment activities, including scheduling interviews and coordinating background checks.
  • Maintain inventory of office supplies, anticipate needs, place orders, and organize supplies.

Accounting Liaison:

  • Serve as the main contact for our external bookkeeping and tax partners.
  • Provide invoices, receipts, and transaction details to ensure proper categorization of expenses.
  • Review QuickBooks entries regularly, verifying accuracy and reconciling with bank statements.
  • Schedule and manage ACH payments and vendor invoices through company bank accounts.
  • Review and confirm timely filing of sales tax returns; archive and distribute documentation as needed.
  • Monitor bank account activity to ensure all transactions are justified and accurate.
  • Process and verify employee reimbursement requests.
  • Manage vendor relationships by submitting required forms.

Qualifications & Skills

  • Language: Fluent in both English and Mandarin (written and spoken).
  • Accounting Software: Proficiency with QuickBooks or similar accounting software.
  • Accounting Knowledge: Solid understanding of basic accounting principles and bookkeeping practices.
  • Organizational Skills: Highly organized and detail-oriented, able to manage multiple tasks and deadlines.
  • Communication: Excellent communication and interpersonal skills, with the ability to liaise effectively between teams and external partners.
  • Education: Bachelor’s degree in Business, Accounting, or a related field (preferred).
  • Experience: Prior experience in office administration and/or accounting support is a plus.
