This is accomplished by:
Working together with various functions and departments to ensure effective and efficient implementation of office policies and procedures
Providing a pleasant, functional and environmentally responsible working environment to our people to enable them to operate and serve our clients
Delivering a range of general administrative support services to facilitate operation efficiency and service excellence
 

Work you'll do

  • Report to the Director and support by a team of administrative personnel to provide full spectrum in the office operation to facilitate operational efficiency.
  • Responsible for overall office administration operation includes:

    • Oversee receptions operation and ensure the service delivery
    • Lead the planning and operation of internal booking system, booking policy and related logistic guideline.
    • Monitor events & meeting room bookings, coordinate related logistic requirement
    • Manage procurement process including sourcing, inventory control, contract negotiation and service renewal, etc
    • Support office environment & facilities maintenance
    • Coordinate inbound MICE groups and accommodation for seconded colleagues
    • Manage workplace health and safety
    • Support of ESG initiatives
    • Monitor office expenditure and cost control
    • Follow ISO requirement on confidentiality and environmental protection
  • Act as emergency contact for the office, responding to emergency calls and situations as needed, ensuring swift action and response
  • Supervise and train the team of events coordinator, admin & procurement administrators, receptionists and tea ladies. Manage staff performance under a pleasant and functional working environment
  • Support daily office administration operation
  • Maintain department calendar and schedule appointments
  • Assist in formulating, reviewing administration policies, practices and procedure for workflow enhancement, higher efficiency and be future-ready.
  • Prepare correspondence, presentation with statistics data, departmental e-news and reports.
  • Assist and support the project team for special projects such as office renovation, office relocation, systems integration, etc whenever required
  • Handle administration work and ad-hoc projects as assigned

We are looking for someone with

To be considered for this position, you must demonstrate skills and experience in the following areas:

  • Bachelor Degree in Business Administration, Facilities/ Property Management, Hospitality or related discipline.
  • Minimum 5 years’ supervisory experience in facilities / administration management. Ideally with previous experience working in sizable organization
  • Solid hands-on experience in stakeholder management & event handling is a must.
  • Mature and independent with strong organizational skills and attention to detail.
  • Strong problem solving, negotiation and communication skills
  • Detail-oriented, well-organized and with high level of integrity
  • Good time management, able to prioritize, multi-task and to meet deadlines
  • Good command of spoken and written English and Chinese (both Cantonese & Putonghua)
