Job Description

Korean International School (KIS) is a private, independent school with an enrollment of over 800 students representing more than 30 nationalities. We offer a British-style academic education designed for the English-speaking community in Hong Kong.

Position Overview 

The Facility Manager is responsible for the comprehensive management, maintenance, safety, and strategic development of the school’s physical environment, including buildings, sporting facilities, and related infrastructure. This role ensures that the campus operates safely, efficiently, and in full compliance with all legal and regulatory requirements.

Key Responsibilities 

Facilities Management and Maintenance 

    Conduct regular campus assessments to identify maintenance needs and improvement opportunities.
    Develop and implement a long-term Facilities Development Plan Roadmap to support proactive planning and smooth approval processes with government bodies.
    Oversee daily maintenance, repair, and upkeep of school buildings, grounds, and equipment to ensure a safe, clean, and operational environment.
    Manage preventative maintenance programmes for critical systems like HVAC, plumbing, electrical, and structural systems.
    Supervise janitorial, landscaping, waste management, and cleaning services to maintain cleanliness and presentation.
    Ensure facilities are secure, including access control systems and perimeter safety.

Health, Safety, and Compliance 

    Ensure compliance with health, safety, environmental, fire, and building regulations.
    Develop and maintain emergency response plans, including drills for evacuations, lockdowns, and other potential incidents.
    Maintain and inspect fire safety equipment, including alarms, extinguishers, and sprinkler systems.
    Serve as the primary contact for health and safety matters, liaising with regulatory bodies and emergency services.

Renovations and Capital Projects 

    Collaborate with the Project Manager to execute renovation and improvement projects efficiently.

Vendor and Contract Management 

    Source, negotiate, and manage contracts with service providers, including cleaning, security, grounds maintenance, and specialist contractors.
    Monitor vendor performance to ensure quality and adherence to agreements.
    Manage procurement of facilities-related goods and materials, ensuring cost-effectiveness.

Team Leadership and Staff Management 

    Lead and support the facilities team, including maintenance, cleaning, and security staff.
    Oversee staff training, development, and performance to maximize efficiency and quality.
    Foster a positive and collaborative working environment across the team.

Administrative and Financial Duties 

    Maintain records of maintenance activities, inspections, work orders, and compliance checks.
    Prepare and manage the facilities budget, ensuring cost control and accurate financial reporting.
    Provide regular updates to senior leadership on facilities operations, compliance, and budget performance.

Sporting Facilities Management 

    Oversee maintenance and safety of sports facilities, including playing fields, gyms, and pools.
    Coordinate with sports staff to ensure facilities are fit for purpose and ready for activities or events.
    Manage scheduling and external use of sports facilities.

Proactive Issue Management 

    Identify and address facility issues proactively, ensuring prompt resolution to avoid disruptions.

Education, Qualifications, and Experience 

    Degree or diploma in Facilities Management, Building Services Engineering, or a related field.
    Professional certification (e.g., Certified Facility Manager (CFM), Facility Management Professional (FMP)) is preferred.
    5–8 years of relevant experience in facilities management, building operations, or property management, preferably in an educational environment.
    Experience managing renovation, maintenance, or construction projects.

Technical Skills and Competencies 

    Strong knowledge of building systems, including HVAC, plumbing, electrical, fire safety, and security systems.
    Familiarity with Hong Kong building codes and regulations (e.g., Fire Services Ordinance, Buildings Ordinance).
    Proficiency in facilities management software for scheduling and asset management.
    Knowledge of sustainable practices and energy-efficient systems is a plus.

Working Conditions 

    Regular on-campus presence for inspections and supervision.
    Flexibility to respond to emergencies outside normal working hours.
    Additional duties as required to support school operations.
