We are seeking a sharp, proactive, and highly organised Executive Assistant to support our CEO in running and growing a fast-moving education consultancy. You won’t just be managing a diary — you’ll be the CEO’s right hand: following up on critical tasks, improving internal operations, liaising with departments, and helping the CEO stay focused and effective. 🔑 Key Responsibilities
Follow-ups & Task Chasing
Track CEO-delegated tasks and deadlines across all departments.
Follow up with team members to ensure smooth execution and timely delivery.
Step in to solve minor blocks or escalate critical delays.
Operations Oversight
Identify inefficiencies in HR, Admin, and Operational processes.
Work closely with department heads to flag pain points and suggest improvements.
Internal Communication Champion
Act as a bridge between the CEO and wider team.
Draft internal updates, announcements, or messages for clarity and tone.
Help maintain alignment across departments on key goals.
Meeting Support
Attend and take structured notes in key meetings.
Summarise action points and distribute clearly to relevant team members.
Maintain an action log and send reminders on deadlines.
Crisis Buffer & Calm in Chaos
Support the CEO by acting as first responder in operational or team-related crises.
Gather facts, provide calm communication, and escalate only when necessary.
Talent & Hiring Support
Assist with first-round CV screening and interviews.
Prepare candidate briefs for the CEO and help manage recruitment logistics.
Business Development Assistance
Attend external meetings with the CEO.
Help with prep work, notes, and follow-up after client or partner engagements.
Admin & Delegation Support
Capture CEO ideas, promises, and random to-dos — and help get them done.
Handle small but important details that can easily slip through the cracks.
Diary & Schedule Management
Organise the CEO’s calendar, appointments, and travel.
Coordinate meetings with internal teams and external partners.
Anticipate conflicts and ensure time is used effectively.
📈 Success Metrics (KPIs)
Accuracy in scheduling and time management
Timely delivery of meeting notes and reminders
Clear evidence of operational improvements each quarter
Strong feedback from internal departments on communication and support
Reduction in CEO’s time spent on admin and operational follow-ups
🧠 What We’re Looking For
Extremely organised, detail-oriented, and proactive
Excellent communicator — written and verbal
Calm under pressure; a natural problem-solver
Curious and willing to learn about the education industry
Able to handle confidential matters with maturity and discretion
Comfortable working with ambiguity and adapting to priorities
Bonus: Familiarity with productivity tools like Notion, Trello, ClickUp, etc.
