We are a newly established but highly stable investment management / multi-family office that has forged deep connections with global investment managers as well as investors.
We are building a talented team and as part of that effort, we are looking for an enthusiastic, confident and self-motivated individual to join our Administration team as the Executive Assistant / Office Manager for our fast-growing office.
Today, our team consists of 6 people based in Hong Kong and one person in New York. We are looking for someone who is happy working in a small office setting.
Responsibilities & Qualifications:
This role will evolve as the business grows and it is for someone who is flexible and adaptable to the changing needs of the business, as well as being enthusiastic, energetic and ready to drive change.
Key responsibilities:
- Work directly with the senior leadership team comprising of two partners (CEO and CIO) to support all aspects of their work, including making travel arrangements (both domestic and international), coordinating meetings, personal matters, and managing their calendar
- Organize and prepare for meetings, including gathering documents and attending to logistics of meetings. Given that many of the zooms are with the business partners in the US, you need to be comfortable with arranging meetings with people from different time zones
- Lead general office management, including claims reimbursement, bookkeeping, file management and premise management
- Perform other ad-hoc assignments and projects as assigned
Qualifications / Requirements:
- Bachelor’s degree preferred
- 8-10 years’ prior experience in supporting senior executives or teams, preferably from financial or legal services sector
- Proficient MS office skills
- Attention to details, highly organised, great sense of discernment and high level of integrity
- Open to multi-tasking
- Strong interpersonal skills with a collaborative mindset
- Able to think and improvise independently, to trouble shoot and problem-solve
- Ability to manage through ambiguity and prioritise effectively
Excellent communication skills and fluency in English is required
