Job Description

The Executive Assistant will provide high-level administrative and strategic support to senior executives, enabling them to focus on leadership priorities and client engagements. This role requires exceptional organizational skills, discretion, and the ability to manage competing demands in a fast-paced, global environment.


Job Responsibilities:

  • Executive Support

    • Manage complex and dynamic calendars, including scheduling meetings across time zones
    • Coordinate domestic and international travel arrangements, including visas and itineraries
    • Prepare, proofread, and format correspondence, presentations, and reports
    • Handle sensitive and confidential information with the utmost discretion

    Stakeholder Engagement

    • Serve as a liaison between the executive and internal/external stakeholders
    • Facilitate communication and follow-up on behalf of the executive
    • Build and maintain trusted relationships across the executive’s network

    Project & Event Coordination

    • Organize and support internal meetings, client events, and team offsites
    • Assist in the execution of strategic initiatives and special projects
    • Monitor deadlines and ensure timely completion of deliverables

    Administrative Operations

    • Process expense reports, timesheets, and reimbursements
    • Maintain accurate records and filing systems in accordance with firm policies
    • Provide coverage and support to other Executive Assistants as needed

Job Requirements:

  • Bachelor’s degree holder in related discipline
  • 8 years or above experience in supporting senior executives, preferably in consulting or finance industry
  • Advanced skills in Microsoft Office Suite; familiarity with CRM and scheduling tools
  • Ability to prioritize under tight time constraints and to work successfully in a fast-paced environment
  • Excellent written and verbal communication skills with professional demeanour
  • Fluent in English and Mandarin are must
  • High emotional intelligence, adaptability, and a proactive approach
