Executive Assistant
We are seeking a highly organized and proactive Executive Assistant to provide top-tier administrative and strategic support to our executive team. In this role, you’ll manage complex schedules, coordinate travel, prepare polished business materials, and contribute to key projects—all while handling sensitive information with discretion. The ideal candidate combines financial/business acumen with exceptional communication skills and a knack for problem-solving in a fast-paced environment.
Key Responsibilities-
Executive Support:
- Manage dynamic calendars, prioritize appointments, and coordinate seamless logistics for both business and personal engagements.
- Arrange domestic and international travel, including flights, accommodations, and itineraries.
Business Communications & Documentation:
- Design and prepare high-impact presentations (PowerPoint), reports, and agendas for strategic meetings and stakeholder communications.
- Proofread, format, and distribute business documents with meticulous attention to detail.
Project & Stakeholder Coordination:
- Support marketing/PR initiatives, track progress, and follow up on action items, leveraging financial PR expertise where applicable.
- Act as a liaison between executives, internal teams, and external partners to ensure alignment and timely deliverables.
- Monitor project timelines, proactively following up with team members to keep initiatives on track.
Confidentiality & Professionalism:
- Handle sensitive information with the utmost discretion and integrity.
Requirements-
Education: Bachelor’s degree in Finance, Economics, Business Administration, Accounting, or a related field.
Experience: 1–3 years in an executive support role, with exposure to business strategy and financial concepts.
Skills:
- Exceptional PowerPoint proficiency; ability to create visually compelling presentations and marketing materials.
- Strong research, analytical, and problem-solving skills—resourceful in navigating unexpected challenges.
- Self-motivated with a dedication to precision and the ability to work independently.
Language: Fluent in English and Chinese (Mandarin), both written and spoken.
Personality Traits: Team-oriented, detail-obsessed, and commercially savvy with a high level of initiative.
Nice-to-Have (Preferred Qualifications)
- Experience in financial PR, corporate communications, or investor relations.
- Familiarity with project management tools (e.g., Asana, Trello) or CRM systems.
