Role Overview:
As the Assistant to the President, you will provide comprehensive executive support to our company’s top leader and ensure smooth day-to-day operations at the highest level. You will serve as a key liaison between the President and various internal and external stakeholders, handling sensitive communications and strategic initiatives with the utmost professionalism. This role requires a proactive, well-organized individual who can multitask and operate with discretion and efficiency in a fast-paced international business setting.
Key Responsibilities:
Executive Support:
Executive Support & Coordination: Manage the President’s schedule, calendar, and travel arrangements. Organize high-level meetings, prepare agendas, and ensure the President is well-prepared with necessary documents and briefings.
Communication & Liaison: Act as the primary contact point on behalf of the President for government agencies, industry associations, and international business partners. Handle correspondence and inquiries professionally in English, Cantonese, and Mandarin.
Project Follow-Up: Assist in tracking the progress of strategic projects and initiatives delegated by the President. Coordinate with various departments to ensure tasks and deadlines are met, providing regular updates and reports.
Stakeholder Engagement: Facilitate effective communication between the President and key stakeholders. This includes preparing presentation materials, writing meeting minutes, and following up on action items with relevant government bodies or business partners.
Confidential Task Management: Handle sensitive, confidential, or strategic assignments as directed by the President. Uphold strict confidentiality and discretion at all times, especially when dealing with internal company matters or high-level strategic plans.
Ad Hoc Duties: Perform any other duties or special projects assigned by the President, demonstrating flexibility and a solutions-oriented mindset in addressing emerging needs.
Procurement & Sourcing :
- Manage and develop relationships with existing overseas suppliers in the cosmetics and fragrance industry.
- Identify and evaluate potential new suppliers to expand the company's product offerings.
- Negotiate terms, pricing, and contracts to secure favorable deals.
- Oversee the procurement process, including issuing purchase orders and tracking deliveries to ensure timely fulfillment.
- Collaborate with logistics and warehouse teams to coordinate the receipt and storage of goods.
- Monitor market trends and conduct competitive analysis to inform sourcing strategies.
Requirements:
Hong Kong Residency: Must be a Hong Kong native and continuously residing in Hong Kong.
Languages: Trilingual fluency in English, Cantonese, and Mandarin. Excellent command of spoken and written English and Chinese is required for effective communication and document drafting.
Education: Bachelor’s degree or above from a top-tier/elite institution is required. A Master’s degree (or higher) in business, law, public administration, or related fields is highly preferred.
Legal & Business Knowledge: Strong knowledge of Hong Kong business laws and regulations – including the Companies Ordinance, Employment Ordinance, and related corporate governance or compliance rules. Familiarity with basic economics, finance or business administration principles is expected to support informed decision-making.
Work Experience: Proven experience in a high-level executive support role is preferred. Experience as an Executive Assistant to senior management, or in Public Affairs, Corporate Secretary/Company Secretarial support, or similar roles will be a strong advantage, or in procurement, sourcing, or supply chain management, preferably within the beauty or fragrance industry.
Communication & Writing Skills: Exceptional communication and interpersonal skills. Ability to draft professional documents (official letters, policy notices, internal guidelines) with precision. Confident in liaising with senior officials and international partners.
Organizational Skills: Excellent coordination and organizational abilities, with a talent for multitasking and prioritizing tasks in a fast-paced environment. Attention to detail is critical, especially when managing the President’s schedule and important projects.
Professionalism & Discretion: High level of integrity, discretion, and judgment. Capable of handling confidential information and sensitive assignments with trustworthiness and a strong sense of responsibility.
Adaptability: Flexibility to occasionally accompany the President to meetings or events, and to handle urgent matters outside regular hours if needed. A proactive attitude to anticipate needs and address issues before they escalate.
