To this end we are expanding our Hong Kong based finance, accounting and compliance team. Globally this team has 4 members and works directly for the HK based board members, locally it will be the 3rd hire of an expanding team.
We are searching for an Accounting and Administrative Assistant (Full-time) HKD22.000-HKD28.000 per month.
Job description
- Accounting and invoice management: Conduct invoice checks, classify and input all invoices into company accounts and systems; invoice and payment status follow-ups with internal and external stakeholders; monitoring timely payment of outstanding invoices according to company payment guidelines.
- Annual closing and audit assistance: prepare the relevant documents for annual closing and liaison with the auditor for facilitating the process of audit and tax.
- Data input and management: Organize and maintain accurate, secure and detailed databases, files, and records; verify accuracy of information, and record information; ensure compliance with established records retention schedules including archiving, scanning, and destructing files.
- Secretarial Services: Assisting with filing annual returns and other statutory reports, maintaining the company's registered office, managing company seal and share certificates, handling correspondence with Companies House/Register of Commerce and other regulatory bodies, advising on corporate governance matters, preparing and circulating board and committee minutes, domiciliation and document handling, research and advisory on local regulations
- Documents and presentations: Apply corporate design and standards to all internal and external communications, draft documents for transactions and procedures like invoices, orders, packing or stock lists, HR admin, executive summaries, interim results, presentations. In addition you handle company correspondence.
- IT support: manage software licenses, subscriptions, and web-presences for actuality, validity, and relevancy; ensure timely and accurate updates, renewals, and cancellations; create and manage new and existing users on behalf of the company; inform the management about incidents, new requirements, and upcoming changes. Help monitor date security.
- Travel and visa support: Research, compare, and make travel arrangements including visa requirements. Schedule; coordinate, follow-up, and handle changes, updates, and delays; gather, verify, and submit payment receipts and invoices into company accounts.
- Communication and collaboration: Coordinating with other departments to collect necessary information and providing data as needed; calendar and meeting management, monitor reporting for projects and task independently and according to deadlines.
Qualifications
- Must be Hongkong-based
- Bachelor's degree in Accounting or Finance
- Strong understanding of International Financial Reporting Standards (IFRS) and Generally Accepted Accounting Principles (GAAP)
- At least 2 years of work experience in accounting and bookkeeping
- Knowledge of and bookkeeping systems (preferably Zoho Books or QuickBooks)
- Proficiency in MS Office (Outlook, Teams, Word, Excel)
- Fluency in English and Cantonese
- Ability to prioritize and manage time independently
- Effective communication and interpersonal skills
