TITLE: Program Manager, Student Life and Program Operations

DEPARTMENT: Sokolov Executive MBA Program, Asia

LOCATION: The University of Chicago Booth School of Business in Hong Kong


The University of Chicago Booth School of Business is the second-oldest school in the U.S. and second to none when it comes to influencing business education and business practices. We are looking for a highly motivated individual to join our Program team.


GENERAL SUMMARY: The primary responsibility of this role is to offer a wide range of student services, and academic and administrative support to the Sokolov Executive MBA Program in Asia. The Program Manager will work with the Student Life and Program Operations team to ensure students’ high satisfaction with their learning experience, support student academic and logistics needs, and course materials ordering, organize/manage special events/projects for students, and maintain proper student records.


PRINCIPAL DUTIES AND RESPONSIBILITIES:

Sokolov Executive MBA Program Administration:

  • Coordinate logistics leading to and during class weeks. Plan for materials photocopying and distribution, setting up rooms, lockers, and student directory
  • Distribute communications and handouts to student mailboxes as necessary
  • Manage TA and student visa application process - liaison between Chicago office and local law firm with TA and student visa matters
  • Manage TA logistics, proctoring assignments, and producing TA information letters
  • Work with Operations team on class weeks logistics, IT, planning


Academic Administration:

  • Process course material orders, inventory, production, and distribution each quarter. Work with the Faculty Services team based in Chicago
  • Oversee course evaluation for Faculty
  • Create, and manage all AXP and electives weeks’ course evaluations for Teaching Assistants
  • Create and monitor class lists, study group lists, email distribution mailing lists
  • Create quarterly class schedules


Student Services:

  • Main contact for student questions related to campus activities, services, events, and logistics
  • Issue various official documents upon student request
  • Assist with graduation and closing ceremony logistics and administration
  • Create, maintain, and update the Student Program Information online platforms


Special Events/Projects:

  • Work with the Student Life and Program Operations Team, plan and execute, and collaborate on special events
  • Assists with Hong Kong campus special events logistics and setup, as needed
  • Provide support to Booth visitors, overseas colleagues, and faculty, including logistics and meeting arrangements


MEASUREMENTS OF SUCCESS:

  1. Demonstrate a high level of administrative competence
  2. Students' satisfaction rating reflected in student and faculty surveys
  3. Effectiveness of administrative support and database management
  4. Successful on-time completion of scheduled events and special projects
  5. Meet project deadlines and targets
  6. Overall rate of efficiency, accuracy, timeliness, and organization of all assigned tasks


REPORTING RELATIONSHIPS:

Reports to Director – Sokolov Executive MBA Program, Asia

Direct Reports – None


KNOWLEDGE, SKILLS, AND EXPERIENCE:

  1. Bachelor’s degree/Diploma in business, hospitality, or logistics, or equivalent required
  2. A minimum of 3 - 5 years of substantive and relevant work experience with progressive responsibility required. Experience in higher education, training, or the hospitality industry, preferably in a multicultural environment is preferred.
  3. The ability to learn new tasks quickly is required.
  4. Experience in one or more of the following areas of principal duties required: customer service, procurement, logistics and event management, project management, administration.
  5. Excellent interpersonal and organizational skills, initiative, and attention to detail required.
  6. Proven ability to work efficiently with minimal direction and to anticipate issues and problems required.
  7. Excellent oral and written communication skills in English, Cantonese, and preferably Mandarin required.
  8. Collaborative work style, highly organized with strong analytical and multi-tasking skills, independent and resourceful, able to meet deadlines in a fast-paced environment required.
  9. High proficiency with Microsoft Office (especially Excel, Word, PPT) and Adobe required.
  10. Must be able to work legally in Hong Kong permanently.


SALARY AND BENEFITS

The salary will be competitive and commensurate with experience. In addition to salary, Chicago Booth offers an attractive benefits package including 20 days of holiday per year – prorated (excl. Hong Kong Public Holidays), MPF contribution, private medical and dental insurance, and life insurance offered.
