Purpose of the Role

Resolve is seeking a talented individual for the role of Operations Associate . The opening of this role comes at a time of growth for Resolve, as we expand our reach into the community and prepare to launch an exciting new three-year program that will expand our capacity building work to local schools. This is an exciting opportunity to work in a local NGO, a close-knit team and in a position where you can make a direct impact in the community.

Reporting to the Operations Director, you will play a vital and multifaceted role in supporting the organization’s accounting and reporting, IT, human resources, and operations functions. This position presents a unique opportunity to learn from people with years of experience in the nonprofit sector. You will have the chance to work collaboratively with the wider Resolve team. Your ability to manage relationships with interns, volunteers, NGO, and other partners will be instrumental in fostering positive collaborations and achieving our organizational goals. Working in a small and cohesive team, you are able to balance working independently on your projects but are proactive in rolling up your sleeves to support the wider team.

The Ideal Candidate:

As an Operations Associate, your responsibilities are as follows:

  • To sustain transparency and accountability, you are tasked with the maintenance of accurate financial record-keeping, including updating of accounting records into the Xero accounting system, preparation of check payments and maintenance of bank reconciliation.
  • To support the Operations Director and the Resolve team in grant management, including tracking expenses and preparation of periodic reports to the funders.
  • To monitor and analyze financial information that can provide insights for decision making.
  • To review and identify opportunities for improvements to internal processes and help put in place any changes agreed upon that can enhance our operational resilience and efficiency.
  • To collaborate with external IT vendors and consultants to maintain and enhance the Resolve’s IT infrastructure.
  • To become familiar with Resolve’s CRM system and Project Management systems and is able to assist other team members in deploying their tasks in running the CRM /Project Management system.
  • To provide training and guidance on using Resolve’s systems for new or inexperienced users.
  • To take a leading role in optimizing the office space usage especially in the co-working space environment.
  • To support the organization in the talent management and recruitment process, including job postings, interviews scheduling and follow up with candidates.
  • To take part in internal projects that support the strategic growth of the organization.
  • To participate and assist in organization-wide activities such as team meetings, internal social activities and staff-wide functions and events.
  • To help and support the execution of community events or workshops in collaboration with other members of the organization.
  • Undertake other duties as required to contribute to the smooth operation of the organization.

Qualifications and Skills

  • A Bachelor’s degree in a related field, such as accounting, finance, computer science, business management, human resources, or other equivalent discipline.
  • At least 1 year experience in a related field. Student members of a professional accounting body are mostly welcome.
  • Cultural sensitive and a team player.
  • Good interpersonal and communication skills to collaborate effectively with team members and external stakeholders.
  • Competent skills and experience in IT Systems, such as Xero, Asana or Salesforce.
  • Exceptional digital fluency, including Microsoft Office and Google-based platforms and understanding of data privacy and security.
  • Proactive and self-motivated, with the ability to work both independently and as part of a team.
  • Fluency in spoken and written English. Conversational Chinese (Cantonese) is preferred but not essential.

Salary & Benefits

HK$13,000 to 16,000 p.m. depending on the level of experience and competencies. Several benefits including some options for flexible working, health and dental insurance, opportunities for training and development and above-market levels of annual leave.

Duration

This is a full-time position. Immediate availability preferred. Shortlisted candidates will be contacted on a rolling basis.
