Job Description: Facility Management and Office Administration Lead

We are seeking a qualified candidate with solid experience in facility management . The ideal candidate will also have experience in office administration duties or be willing to engage in such responsibilities. This role will involve guiding and leading a small team in office management to ensure efficient operations and a well-maintained work environment.

Responsibilities:

1. Office Administration Services

  • Oversee a team of administrative personnel, including receptionists and support staff, to deliver comprehensive office administration services, ensuring office cleanliness and housekeeping.

  • Implement administration policies and systems to meet operational requirements effectively.

  • Manage office space, facilities, and maintenance of office equipment to ensure a seamless working environment.

  • Support the oversight of office aesthetics and monitor office expenditures.

  • Promote Environmental, Health, and Safety (EHS) initiatives and well-being within the office.

2. Company Vehicle Management

  • Oversee the management of company vehicles, including coordinating driver schedules, renewing licenses (HK and PRC), and ensuring general maintenance.

3. Company Quarters Management

  • Assist in the management of company quarters and coordinate maintenance tasks with the Facility Management Office (FMO) and contractors.

4. Plant Administration and Facility Management

  • Support the Maintenance Team with general maintenance issues, ensuring all periodic checks, testing, necessary licensing, and certifications are renewed on time to meet statutory requirements.

  • Provide administrative support for the plant located in Tai Po.

Requirements:

  • Higher Diploma or Degree Holder.

  • Over 5 years of experience in a comprehensive office administration role; supervisory experience is a plus.

  • Prior experience in large-scale companies with a team size of at least 200 people.

  • Experience in handling PRC/HK licenses and insurance is highly preferred.

  • Proficient in both English and Chinese (Putonghua).

  • Strong communication, interpersonal, and project management skills.

  • Familiarity with Excel, PowerPoint, Word, MS Forms, and Power Automate.

  • Ability to work effectively with individuals at different levels.

  • Experience in the manufacturing industry is highly advantageous.

  • Candidates with more experience will be considered for the Assistant Manager position.
