Executive Assistant to Managing Director

Location: Central, Hong Kong (with travel to Mainland China & London)
Employment Type: Full-time
Salary: HKD 27,000 – 38,000 per month

Start date: 01 December 2025 (earlier start date possible)

About the Role

We are a boutique financial services compliance consultancy establishing a new office in Hong Kong. The Managing Director is currently the only team member based locally, with the wider team located in the UK. We are seeking a highly capable Executive Assistant to provide direct support to the Managing Director and help ensure the smooth running of the new office.

This is a unique opportunity for an experienced professional to take on a broad and influential role – combining executive support, office coordination, client liaison, and frequent translation support during travel to Mainland China. The role requires excellent organisational skills, cultural fluency, and the ability to work independently while staying closely connected to our UK team.

Key Responsibilities

Executive & Office Support

  • Manage the Managing Director's complex scheduling, calendar coordination, and travel arrangements (frequent business travel to Mainland China; occasional travel to London).
  • Organise daily work schedule for Managing Director.
  • Support the establishment and day-to-day running of the new Hong Kong office.
  • Prepare, review, and translate documents, presentations, and board report packs.
  • Supporting the sales process with proposal preparation, client scheduling.
  • Handle correspondence, draft communications, and ensure timely follow-ups.

Client & Internal Support

  • Accompany the Managing Director on regular business trips to Mainland China to provide in-person translation (Cantonese - Mandarin - English) during meetings and negotiations.
  • Coordinate meetings and other work with overseas team members.
  • Act as the first point of contact for clients, partners, and stakeholders in Hong Kong and Mainland China.
  • Assist with client meeting logistics, agendas, and presentations, as well as attend client meetings.
  • Client due diligence
  • M&A transaction support

Administration & Projects

  • Manage expense reporting, reimbursements, and coordinate with UK finance colleagues.
  • Use technology to streamline processes and improve efficiency.
  • Support special projects and ad hoc initiatives led by the Managing Director.
  • Ad hoc research projects

Personal Assistance (as required)

  • Coordinate occasional personal appointments and travel.
  • Handle ad hoc lifestyle-related tasks with discretion.

Requirements

  • Minimum 4 years' experience as an Executive Assistant or in a similar role.
  • Professional fluency in Cantonese, Mandarin, and English (written and spoken).
  • Strong organisational skills with meticulous attention to detail.
  • Highly proficient in MS Office and productivity tools.
  • Comfortable working independently in a small office environment while liaising with colleagues overseas.
  • Experience supporting senior leadership in a fast-paced, client-facing role.
  • Ability and willingness to travel regularly to Mainland China and occasionally to London. We have clients in Shanghai, Beijing, Guangzhou, etc.
  • Must be available for regular travel to Mainland China.
  • Skilled translator and confident communicator in business settings.
  • Bonus points if you have used productivity systems like Getting Things Done (GTD) or similar before.
  • Must be a Hong Kong resident to be eligible for this position.

Interview process

  • Initial application with covering letter
  • After initial screening, you will be asked to complete a short video exercise in English, Mandarin and Cantonese
  • We will invite you for a face to face interview, during which you will also need to complete a written test in each language

The overall process should take around 2-3 weeks, and we aim for a start date of 01 December 2025.
