Role Overview
We are seeking a reliable, responsible, and detail-minded Executive Assistant to join our team. This role is a core support backbone to ensure smooth daily operations across departments. The ideal candidate will be discreet, capable of handling confidential information with sensitivity, and comfortable managing multi-functional responsibilities. The role will report directly to senior management and play a key part in supporting both strategic initiatives & daily business functions.
Key Responsibilities
· Operations & Logistics Coordination
Ensure smooth day-to-day operations by managing customer order fulfilment, coordinating with logistics partners, warehouse teams, and the sales & marketing department. Oversee inventory control, shipment documentation, and import/export procedures to maintain accuracy and timely delivery across the supply chain.
· Office Administration & Finance Coordination
Maintain a well-organized office environment, including supplies management, vendor coordination, and general upkeep. Support basic HR functions such as attendance tracking and staff coordination. Handle routine financial tasks including payment processing, liaising with suppliers, and maintaining records of accounts receivable/payable.
· Executive Support & Cross-Departmental Communication
Act as a trusted assistant to senior management, supporting strategic initiatives and daily decision-making. Prepare reports, analyze operational data, and facilitate communication between departments to ensure alignment and efficiency. Participate in planning and execution of company-wide projects.

Skills & Language Requirements
- Minimum 5 years working experience. Prior experience in secretarial, trading, distribution, logistics and operational roles is an advantage
- Bachelor or University Degree graduate is a plus
- Proficient in English, Cantonese, and basic Mandarin
- Strong computer skills (MS Office, email, spreadsheets, etc.)
- Basic knowledge of HR and accounting practices
