Job Title: Assistant Merchandiser

Job Summary:
Sunshine Far East Ltd is seeking a dynamic and detail-oriented Assistant Merchandiser to support the Merchandising Team in day-to-day operations, ensuring smooth order processing and shipment management. The ideal candidate will assist in managing product documentation, supplier coordination, and tracking shipments to optimize team productivity. The role involves occasional travel to Africa and across China, providing exposure to international markets and suppliers.
Key Responsibilities:
- Order & Documentation Management:
- Access Google Sheets for Sales Contract (SC) and Invoice Numbers.
- Handle supplier sales confirmations and customer purchase orders.
- Assist in preparing Purchase Orders (PO) to factories and Sales Confirmations for customers.
- Manage documentation for shipments, including scanning and filing necessary records.
- Supplier & Customer Coordination:
- Follow up on customer Purchase Orders and Proforma Invoices with suppliers.
- Liaise with suppliers for the development of artwork, manuals, and leaflets.
- Send signed PIs and deposit advice to suppliers and sales confirmations to customers.
- Shipping Coordination:
- Ensure shipments are dispatched on time by coordinating with the shipping department.
- Assist in resolving shipping issues with suppliers when required.
- Track original Bill of Lading (BL) documents and ensure timely submission to customers.
- Report Preparation & Ad-hoc Tasks:
- Prepare various reports as needed, such as shipment and supplier follow-up reports.
- Assist in preparing quotations and support negotiations with suppliers.
- Team Support:
- Work closely with the Merchandiser to understand products, markets, and customer requirements.
- Provide coverage during Merchandisers’ absence to avoid delays in order processing and documentation.
- Travel:
- The role will require occasional travel to Africa and across China to meet suppliers, attend trade shows, and participate in meetings.
Requirements:
- Educational Background:
- Diploma or above in Business, Supply Chain, or a related field.
- Experience:
- 2-3 years of relevant experience in merchandising, supply chain, or logistics, preferably in trading companies.
- Experience with product sourcing, supplier coordination, and shipping documentation is preferred.
- Experience in either Building Material & Hardware or Cold-chain (Frozen goods) trade business highly preferred
- Skills:
- Strong organizational and communication skills.
- Proficiency in Microsoft Office, particularly Excel and Google Sheets.
- Knowledge of shipping processes and documentation is a plus.
- Languages:
- Fluency in English and Mandarin is required.

- Detail-oriented with excellent time management skills.
- Ability to multitask and work under pressure.
- Proactive team player, willing to take initiative to support Merchandisers.
- Willingness to travel internationally as required.
