Job Description:

The Senior / Admin Officer plays a critical role in supporting the office day-to-day operation. This position is responsible for managing and executing administrative tasks, ensuring effective and efficient office operations, and providing support to various programs and initiatives.


Key Responsibilities:

  • Handle office communications including incoming and outing correspondence e.g. phone calls, emails, and package deliveries etc.
  • Organize and maintain systematic filing systems and ensure proper documentation and integrity.
  • Assist in the preparation of reports, presentations, and other documents.
  • Oversee and manage office supplies, repair & maintenance, procurement and vendor performance.
  • Support logistics including venue arrangements, participant communication, and materials preparation.
  • Support basic accounting operations, including budgeting, expense tracking, and processing invoices etc.
  • Assist with grant applications and reporting
  • Carry out other ad-hoc duties as directed by management.

Requirements:

  • Bachelor's degree in Business Administration, Communications, Accounting or related discipline.
  • At least 3 years of relevant experience, preferably in non-profit sectors or international projects.
  • Excellent written and spoken communication skills in both English and Chinese, including Mandarin.
  • A strong passion for youth engagement, teamwork, and community service.
  • Flexible to work over the weekend or holidays for events as needed.
  • Exceptional organizational, execution, communication, and interpersonal abilities.
  • Proficient in Microsoft Office Suite.
