Job Description

Responsibilities:

  1. Provide comprehensive administrative support to the Tradebeyond team, including but not limited to organizing files, data entry, and preparing documents.
  2. Assist in scheduling meetings, coordinating travel arrangements, and managing calendars for team members.
  3. Handle incoming and outgoing communications, including emails, phone calls, and mail, with professionalism and efficiency.
  4. Maintain office supplies, equipment, and inventory to ensure smooth day-to-day operations.
  5. Support Key management team's personal matters and provides secretarial services.
  6. Respond to inquiries and requests from internal and external stakeholders promptly and courteously.
  7. Assist in planning and executing company events and initiatives, such as team-building activities and corporate outings.
  8. Collaborate with other departments as needed to facilitate cross-functional projects and tasks.
  9. Adhere to established office policies and procedures to ensure compliance and efficiency in administrative processes.
  10. Undertake additional administrative duties and projects as assigned by management.

Requirements:

  1. High school diploma or equivalent; additional education or certification in administration or a related field is preferred.
  2. Minimum of 5 years of experience in an administrative role, preferably in a fast-paced environment.
  3. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
  4. Strong organizational skills and attention to detail, with the ability to prioritize tasks effectively.
  5. Excellent communication skills, both written and verbal, in English and Cantonese.
  6. Ability to work independently with minimal supervision and as part of a team.
  7. Flexible schedule with availability to work part-time hours.
  8. Positive attitude, willingness to learn, and adaptability to changing priorities.
  9. Knowledge of trade industry practices and terminology is an advantage.
