Job Description

The Position

The successful incumbent will support the strategic and operational goals of Corporate Facilities Management team by analyzing business processes, implementing technology solutions, and performing IT system administration. This hybrid role ensures that operations are optimized through system/data-driven insights and that supporting IT systems are secure, reliable, and aligned with business needs.

Business Analysis (Facilities Management):

  • Analyze and document business requirements related to facilities operations, including space utilization, maintenance, asset tracking, and sustainability.
  • Collaborate with stakeholders to identify opportunities for process automation and digital transformation.
  • Develop dashboards and reports to monitor KPIs such as workorder turnaround time, energy usage, service requests, and customer/tenant satisfaction.
  • Support procurement and implementation of facilities-related technologies and services.

IT System Administration:

  • Administer and maintain facilities-related IT systems, ensuring uptime, performance, and security.
  • Manage user access, roles, and permissions across platforms.
  • Coordinate with IT teams on system upgrades, patches, and integrations.
  • Monitor system logs and troubleshoot technical issues related to facilities-related IT systems or applications.
  • Ensure data integrity and compliance with IT governance and cybersecurity standards.

Project Support & Coordination:

  • Assist in planning and execution of facilities-related IT projects, including stakeholder engagement and documentation.
  • Support change management, training, and user adoption for new systems or processes.
  • Liaise between user of Corporate Facilities Management team, IT, and external vendors to ensure smooth project delivery.

The Candidate

  • Bachelor's degree or equivalent preferably in Business Administration, Information Systems, or related field.
  • Min. 8 years of experience preferably in business analysis or IT system support within facilities or corporate services.
  • Higher education or professional qualifications with less experience will also be considered
  • Knowledge of building operations, smart building technologies, and IoT systems preferred.
  • Experience with facilities management systems and IT administration preferred.
  • Strong analytical and problem-solving skills.
  • Proficiency in Microsoft Excel, Power BI, and system configuration tools.
  • Familiarity with ITIL practices and cybersecurity principles.
  • Excellent communication and stakeholder management skills.
