Job Title: Assistant Logistics Manager
The Assistant Logistics Manager takes responsibility for overall supervision of customer service, warehouse and freight operation, and the co-ordination of operation efficiency in association with other key stakeholders.
Key Tasks and Responsibilities
General Tasks
- Assist senior management in daily operations across warehousing, transportation, and distribution.
- Monitor KPIs and generate regular reports on logistics performance.
- Coordinate with internal departments (e.g., warehouse, fleet, finance) to ensure smooth logistics operations.
- Support in budgeting and cost control initiatives.
- Ensure compliance with company policies and local regulations.
Workflow and Process
- Analyze current logistics workflows and identify areas for improvement.
- Assist in implementing SOPs (Standard Operating Procedures) for office, warehouse and transport operations.
- Support digital transformation initiatives, such as WMS/TMS upgrades or automation projects.
- Monitor process adherence and escalate deviations to senior management.
- Participate in continuous improvement projects using Lean or Six Sigma methodologies.
Inventory Management
- Oversee inbound and outbound inventory movements to ensure accuracy and timeliness.
- Coordinate with warehouse team to conduct regular cycle counts and support full physical inventory audits.
- Monitor stock levels and coordinate replenishment with clients or vendors.
- Investigate and resolve inventory discrepancies.
- Ensure proper storage conditions.
Freight Management
- Coordinate domestic and international freight movements across air, sea, and land.
- Ensure timely and cost-effective transportation of goods in alignment with client requirements and service level agreements.
- Oversee preparation and accuracy of shipping documents (e.g., bills of lading, customs declarations, packing lists).
- Ensure compliance with international trade regulations, customs requirements, and company policies.
Vendor Management
- Coordinate with subcontractors, freight forwarders and other 3PL partners.
- Monitor vendor performance against SLAs and KPIs.
- Assist in vendor selection and contract negotiation processes.
- Handle day-to-day communication and issue resolution with vendors.
- Support cost analysis and vendor billing reconciliation.
Labour / People Management
- Supervise office / customer service staff, including shift planning and task allocation.
- Support recruitment, onboarding, and training of new team members.
- Monitor staff performance and provide feedback or coaching as needed.
- Ensure compliance with safety standards and promote a culture of workplace safety.
- Assist in resolving personnel issues and maintaining team morale.
Corporate Social Responsibility
· Support the company CSR commitment and goals.
Knowledge and Qualifications
Professional Knowledge and Skills
3PL Operations: Understanding of warehousing, transportation, and freight forwarding and ecommerce models in third-party logistics.
Inventory Control: Knowledge of stock management principles, cycle counting, and reconciliation.
Process Optimization: Familiarity with Lean, Six Sigma, or other continuous improvement methodologies.
Labour Management: Awareness of workforce planning, productivity metrics, and safety regulations.
Vendor & SLA Management: Understanding of service level agreements, vendor evaluation, and contract terms.
Regulatory Compliance: Knowledge of local and international logistics regulations, customs procedures, and safety standards.
Qualifications
Education:
- Bachelor’s degree in Logistics, Supply Chain Management, Business Administration, or related field.
Experience:
- 3–5 years of experience in logistics or supply chain operations, preferably within a 3PL environment.
- Hands-on experience with warehouse operations, transport coordination, and vendor management.
Language Proficiency:
- Fluent in English (written and spoken); proficiency in Cantonese or Mandarin is a plus for Hong Kong-based roles.
